COMMERCIAL ADMINISTRATOR
Xiel Limited is a small distributor of medical equipment and pharmaceuticals based near Shepton Mallet. We are experiencing a period of growth and are looking for a Commercial Administrator to join our Commercial Team.

Type of employment contract:
Permanent, part-time

Hours of work:
Monday - Tuesday 09:00 - 15:00, including a 30-minute unpaid lunch break (11 hours per week). Hours could be negotiable, but not the days of the week. In addition, the job holder will be expected to provide holiday cover for other members of the Commercial Team.

Rate of pay:
£12.09 to £13.59 per hour depending on experience

Annual leave entitlement: 25 days plus bank/public holidays per year for full-time staff members. The annual leave entitlement of part-time staff members is calculated on a pro rata basis.

Role Responsibilities:


  • Receiving and processing customer orders using the Sage accounting system.
  • Placing orders with manufacturers, chasing delivery lead times and ensuring goods arrive on time.
  • Ensuring products are booked in/out correctly on Sage and on the 'Stock Record Sheets' so that full product traceability is always maintained.
  • Ensuring medical products are stored in accordance with manufacturers' recommendations.
  • Ensuring all products are picked in accordance with FEFO (first expiry, first out).
  • Ensuring that medicines are only supplied to bonafide checked customers.
  • In collaboration with the Warehouse Team, ensuring products are packed correctly for protection and temperature storage requirements.
  • Notifying the Warehouse Team when a shipment is to be despatched so that transportation can be arranged.
  • Being a point of contact for any customer queries and keeping them up to date with their order status.
  • Under the supervision of a manager, assisting with any product recalls or mock recalls.
  • Notifying the Responsible Person immediately of any reported adverse or unexpected events with any of Xiel products.
  • Notifying the Responsible Person/Contracts and Compliance Specialist and the Commercial and Premises Manager of any complaints relating to the quality of products supplied by Xiel or the service given by Xiel so that they can be fully documented and investigated.
  • Deputising for the Commercial and Premises Manager in their absence.

  • Great attention to detail and high level of accuracy
  • Ability to work in a fastpaced environment
  • Ability to remain calm under pressure

Desirable Criteria:


  • Previous experience of working as an administrator
  • Knowledge of SAGE software and experience of using it
