Workplace Experience Co-ordinator


As Workplace Experience Co-ordinator you will acts as the 1st line of contact for employee experience within the building, to become the go-to person on the concierge desk for all employee issues.


Key Responsibilities:

  • Carries out regular floor walks throughout the building, as well as checks and resets onfloor meeting rooms and common space.
  • Proactively checks for building faults and reports via service desk and proactively assists employees with all building issues.
  • Carries out building inductions, orientation and onboarding for new employees.
  • Carries out building tours when required.
  • Coordinates moves and changes within the building and acts as first point of contact with all associated teams.
  • Maintains centralised services for employees such as stationery, printers, lockers.
  • Manages and maintains relationships with third party vendors that supply services and goods to the office, ensuring appropriate contractual documentation and insurances in place.
  • Provides support to all other Experience services teams (Front of House, Hospitality) to assist during busy periods.
  • Experience coordinators/ mail coordinators staff crossed trained so they can carry out all the different services we provide.
  • Scan incoming work related couriers and oversized personal packages and deliver to staff obtain signatures using tracking system.
  • Book outgoing couriers via Addison Lee.
  • Programme lockers on office floors and basement/shower areas for all staff.
  • Special, Recorded deliveries incoming requiring signatures.
  • Sending and franking outgoing post.
  • Print and bind documents for staff including large scale printing on site for staff.
  • Order core stationary items for mail room and reprographics rooms, service hubs.
  • Carry out archiving requirements sending, retrieving & destructions of files where possible for staff.
  • Housekeeping: on office floors keeping walkways clear and hub areas tidy. Also report defects on floors on Facilities help desk.
  • Monitor meeting room set ups and assist with setups.
Person Specification & Requirements

  • Strong client / FOH facing personality with client / customer facing experience.
  • Knowledge of Opsbase, Ojmar would be helpful but not necessary.
  • Ability to work well within a varied role and team.
  • Ability to lead team inductions confidently to new starters.
  • Highly organised to manage the varied systems.

  • Working hours are 9 working hours between 7am7pm, Monday to Friday.
