Job summary:


  • You will support the Grants Operations Manager and the wider grants team to successfully deliver the smooth running of the grant programmes and liaise with internal and external contacts to help achieve this

Job description:


  • Coordinate the recording and issuing of responses to information requests for the Grants team.
  • Assisting the Grants Operations Manager in the smooth running of the expert advice process, timetabling and coordinating requests and responses.
  • Assist Grants Managers in the recording of payment information and act as a point of contact for the finance team on grants matters.
  • Return grants payment information to finance and check that payments are recorded appropriately and ensure that grants records are up to date.
  • Assist the Grants Operations Manager in the general running of the grant programmes, including the maintaining and upkeep of grant document templates.
  • Coordination and maintenance of internal grants guidance and instructions.
  • Coordinate grants information for Communications team.
  • Perform basic data analysis on Grants information
In addition, the permanent Grants Operations Officer will have the following responsibilities:

  • Prepare monthly, quarterly and annual reports for internal and external use e.g. SMT report, accruals and retention reports.
  • Assist the Grants Operations Manager in the running of the grant reconciliation process.
  • Coordinate the subsidy control recording and reporting process for the grant programmes.

Person specification:


_ Essential requirements:

  • Good working knowledge of the Microsoft office suite
  • Demonstrable numeracy skills (calculation of percentages and fractions)
  • Experience of working in an administrative role
  • Experience of correspondence with external stakeholders
  • Basic knowledge of Grants

_ Desirable requirements:
_


  • Knowledge of Scotland's historic built environment
  • Driving licence or access to alternative means of transport to travel throughout Scotland, including to remote locations
