Job Summary

About the role

  • The role of the Document Controller within the Contracts team is to support the Contracts team in the management of enquiries, creation and reporting of quotations, management of contract documentation.
  • The Document Controller will be responsible for the organisation, collation and management of all drawings and documents in relation to both enquiries and contracts. In ensuring that documents are kept in the right location / file structure, are accessible to all relevant personnel and have been correctly record in lien with contractual requirements
  • This role often involves working to deadlines and ensuring that all personnel working on the projects are following the same procedures with regards to documents / drawings
  • Ensuring that documents / drawings are in the right location, they are categorised according to the project and type of document
  • This will involve checking fee proposals before they are issued to ensure that the correct references and revision numbers have been used, the same exercise will be required in relation to the acceptance of a client contract
  • Liaising with internal and external personnel to ensure that documents contain correct and understandable information regards their categorisation.

Do you have what it takes?

  • The applicant is expected to have excellent organisational skills and to be familiar with effective filing. They must have the ability to monitor and evaluate systems and to look for improvements
  • Good communication skills are important to be able to coordinate the different projects
  • Additionally, an understanding of the organisation's business matters is crucial so as to be able to identify and control documents effectively
  • Being able to work with one or more teams
  • Having excellent IT skills
  • Having high attention to details
  • Being accurate
  • Having organisation skills
  • Being flexible and proactive
  • Having good written and spoken communication abilities
  • The key skills required are accuracy, attention to detail and the ability to meet deadlines. A sound working knowledge of Contract Management Portals (4P, ASITE, etc.) Microsoft Excel and Word is essential
  • Required to develop and implement processes related to document control and management. They work with the project teams in order to implement systems of control. This person also manages the process of distribution of all correspondence and ensure good relationships with external and internal clients
