Aaron Court are recruiting for a receptionist for our busy Care Home to work Monday - Friday, 9.30am-5.30pm with an immediate start date.


  • Excellent verbal communication skills
- face-to-face and on the telephone.


  • Able to use Microsoft Word and Excel at a basic level.
  • Able to use their own initiative.
  • Good organisational skills and able to multitask.
  • A team player.

Purpose:
Supporting the Office Manager in the smooth and effective running of all aspects of the home's administration.

As first point of contact, to ensure that a positive first impression is created with all callers and visitors to the home.


Reception & Communication:


  • To promote the good reputation of the service and Abbey Healthcare. Ensuring that good relationships are developed and maintained with service users, their relatives and friends, and all external professionals and outside agencies.
  • To promote and maintain good working relationships with staff within the home and to work to support conflict resolution, supporting a work atmosphere with promotes a high quality experience for service users.
  • To be courteous and polite at all times, and to present a professional image, adopting a neat, tidy and clean appearance at all times and wear appropriate uniform provided by the company as required.
  • Present a professional and caring first contact for all those who visit or telephone the home. To answer external telephone calls professionally and relay messages efficiently.
  • To promptly report complaints, concerns or safeguarding issues to the senior officer in charge, and to provide a contemporaneous record of any such event.
  • To ensure that the reception and company notice boards have up to date and relevant information.
  • To assist in the cleaning and maintenance of the reception area and other communal areas within the home, ensuring a safe environment is maintained.

Care:


  • To ensure the principles of privacy and dignity are promoted through effective working as part of the team.
  • To assist the Office Manager in aspects of the residents' administration system
  • Assist in the ordering of patient transport and facilitate staff transport where required
  • To encourage and facilitate service users to participate in leisure pursuits and maintain interests in ensuring their social and emotional needs are met.
  • To report and record the well-being of service users

Administration:


  • To support the Office Manager in all aspects of the recording and safeguarding of any other funds held or raised by the home.
  • To support the Office Manager and General Manager with administrative and secretarial duties. Maintain a well-ordered filing system and stock forms and all required stationery to the care home.
  • Check and manage the mail coming in and going out of the service, including prompt delivery to the appropriate departments.
  • Liaising with facilities management, housekeeping and other key personnel regards to breakdowns and where necessary contact with contractors, engineers or electricians.
  • Assist with the maintaining of up to date records regarding visiting professionals such as hairdressing, chiropody, including invoice management and paying suppliers as appropriate.
  • To attend meetings as required by the Office and General Managers
  • To ensure proper use and maintenance of all office equipment
  • To assist the Office and General Managers with aspects of weekly, monthly and annual reporting as required.

Human Resources:


  • To Assist the Office Manager in managing local staff administration including contracts, new starter/leavers, recruitment checks, information regarding payroll, data entry and maintenance of personal and all staff related files.
  • To assist in mentoring or inducting/training of staff as directed.
  • Ordering and maintaining records of staff uniforms.

Marketing:


  • To participate in marketing activities as requested, and in particular providing initial information and best advice to enquiries.
  • To assist in dealing with enquiries and recording the necessary details on the enquiry tracking system and maintaining the service user waiting list.

Training and Development:


  • To actively participate in the process of supervision, seeking opportunities for personal and professional growth
  • To undertake induction training and participate in training programmes which may be required to meet legislative or company requirements.

Health and Safety:


  • To uphold the homes' security and safety precautions at all times
  • To comply with regulations in respect of Health and safety at Work, COSHH, environmental Health, Health and Social Care Act, fire procedures and any other relevant legislation. Reporting promptly and risks identified.

Infection Control:


  • To read and implement the Company Policy and Procedures for Infection Control.
