We have a team of highly skilled certified engineers and project managers offering an individualised service to customers.


The Planning Coordinator will be an integral part of our Operations and Planning team, based at our EMEA headquarters in Toomebridge.

They will support and coordinate daily operations and direct concurrent projects in coordination with the Logistics Team, the PMO, Solutions team and other internal teams, as well as supporting the technical aspect of operations.

The role is pivotal in supporting our day-to-day installations by assisting the Head of Operations with the execution of new and existing projects.

Administration, service level support and documentation will form part of this role.


The Planning Coordinator is responsible for supporting the management of the technical daily operations, ensuring completion of projects and site jobs are successfully and efficiently executed within the means of the detailed task schedule, resource allocation and cost breakdown assigned by the planning team.


You will play a key part in ensuring that the high quality of our client-based service is maintained and improved to deliver world leading complex projects.


ESSENTIAL FUNCTIONS:

Work closely with and report to the Regional Head of Operations.


Plan, execute and coordinate our engineer's day to day activities, including arranging travel and accommodation, often on a reactive basis.

Work closely with engineers and technicians, establishing good working relationships and developing an understanding of specific business travel requirements.

Coordinate logistics and technology needs for each project, including delivery and installation requirements. Scheduling deliveries and installations on a planned basis and covering deliveries and installs on a reactive basis where necessary. End to end project delivery.

Keep an up-to-date schedule for all works to be carried out and an accurate log of works completed. Ensure that all paperwork is up to date.

Interface with clients and secondary support as necessary. Manage client expectations.

Coordinate with clients who provide important contributions to our projects.

Understand requirements for each project and allocate resources effectively and within budget.


Manage and monitor engineer / delivery driver time to ensure maximum output and to ensure scheduled work has been completed.

Track job costs through the use of our internal ERP tool, Salesforce

Attending meetings that may be necessary in the performance of your duties.

Provide administrative support to the team as required. Support metrics such as tracking job costs and assist with reporting.

Develop skills working with global partners on procurement and account management.

Work towards relevant H&S / PM / AV / industry qualifications.

General office management duties, including H&S.


COMPETENCIES AND QUALIFICATIONS:

Ability to troubleshoot and work in an agile environment.

Mature personality with the ability to work both on own initiative and in a team, often under pressure and to strict deadlines

Excellent communication and organisational skills with the ability to prioritise an often-conflicting workload

Innovative, with the ability to implement problem solving initiatives

Flexibility regarding working hours to accommodate differing time zones and willing to travel occasionally

High level of professionalism and customer awareness

Attention to detail


Ability to develop and maintain good working relationships with the Operations Team, including developing a professional approach to people management.


Job Criteria
Have a minimum of 2+ years' experience in a similar position, to include planning and scheduling experience.

Relevant third level qualification

Technical knowledge of the VC and AV industry brands would be an advantage

IT knowledge and competence, especially in Excel

Ability to travel if required (occasional)

Full clean driving licence

Current passport.
