Description
Dealing with the general day to day running of Reception

  • Meeting and greeting clients and visitors to Barham Court, managing visitors register and visitors passes
  • Dealing with couriers and deliveries for clients
  • Postal duties (franking outgoing post for clients, sending recorded and special deliveries and distributing daily post into clients' post boxes)
  • Dealing with enquiries regarding weddings, functions, meetings, and conferences
  • Dealing with office brokers
  • Conducting viewings of available office space
  • Data entry of service and postage charges
  • Managing meeting and conference rooms' diary (booking and sending confirmations, raising invoices etc)
  • Setting up new phones via VTSL portal
  • Dealing with general telephone issues, call diverting, pick up group, changing names on handsets etc
  • Updating spreadsheets with new client's details
  • Updating client distribution lists on outlook
  • Sending announcements and information to clients on outlook
  • Dealing with any issues arise within the building internet, telephones, water, power etc
  • Planning and conducting fire drills
  • Credit control (chasing payment of overdue service/rent bills)
  • Maintain and updating swipe card entry database including issuing new cards
  • General cleaning of main kitchen area/communal areas/ reception area throughout the working day.
  • Daily inspections of building facilities (replenishing as required)
  • Setting up refreshments for meetings and conferences, clearing and replenishing during and after
  • Compliance for new clients, issuing contracts, terms of business, getting required ID, signatures etc.
Hours: 35 hours per week


Job Types:
Full-time, Permanent


Salary:
Up to £22,000.00 per year

Ability to commute/relocate:

  • Maidstone, ME18 5BZ: reliably commute or plan to relocate before starting work (preferred)

Education:


  • GCSE or equivalent (preferred)

Experience:

Microsoft Excel: 1 year (preferred)

  • Customer service: 1 year (preferred)
  • Receptionist: 1 year (preferred)
