Job Description:

Position Purpose


The purpose of the Project Specialist is to assist the Global Asset Control team in the project management, co-ordination and documentation needed to drive the development of Asset Control initiatives.

The holder of the position will assist to ensure that the programme is rolled out successfully, engaging with important stakeholders to coordinate, participate and document meetings as well as follow-up on important actions and decisions.


The Project Specialist will support the creation of global standards utilising project management methodologies, standards, and processes that ensure consistent, efficient and effective delivery of projects.

Key Accountabilities

  • Project Support_
Analyse project requirements and assist in developing project strategies.

Assist in managing & maintaining project timelines, ensuring all project activities are tracked and completed on schedule and provide visibility on progress, milestones and risks to ensure the delivery.

Determine project changes.

Coordinate and follow-up on project tasks, ensuring that all team members are aware of their responsibilities and deadlines.

Provide administrative support to project managers, including scheduling meetings, managing calendars, organising project-related materials and distributing minutes to all project team members.


  • Documentation & Reporting_
Implementation of processes of governance, documentation and best-practice.

Create and maintain project documentation, including project plans, progress reports, and status updates. Generate and analyse project data as needed. Maintain project-related data in project management tools and databases.

  • Communication_


Collaborate with team members and stakeholders across a global matrix environment, participate in meetings, and assist in the preparation of communication materials and presentations.


  • Data Entry_
Maintain project-related data in project management tools and databases. Ensure projects adhere to frameworks and all documentation is maintained and stored appropriately for each project.

  • Change Management_


Support the Global Change Lead in change management activities, such as stakeholder management, creation of communications, supporting end-user acceptance and creating training plans.

Co-host, track and follow-up on change network calls.

Skills & Knowledge

  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work effectively in a team environment as well as independently.
  • Eagerness to learn and adapt in a fastpaced environment.
  • Comfortable speaking up across a matrix environment.
  • Passionate about change & dealing with ambiguity.
  • Ability to work within tight deadlines.
  • Consultancy mindset (gathering information, digesting info and building a presentation from that)
  • Adapt at file management, transcription, and other administrative procedures.
  • Knowledge of project plan tools will be a plus (i.e., Jira).

Bachelors

Preferred Level of Work Experience

  • 5 yearsHybrid Remote
