Post Administration Hours 30 per week Salary £17879
Medical Referrals
Accountable to:
Business Partner
Role Definition The Medical Secretary is responsible for dealing with all clinical and non-clinical mail, both outgoing and incoming.
The work is of a highly confidential nature and no information, either medical or personal, should be disclosed outside of practice personnel.
Key Result Areas
- Secretarial Duties
- Typing of all medical correspondence from the GPs to Hospital consultants, outside agencies and other bodies.
- Typing of all clinical and nonclinical administration from the Business Partner, Practice Nurses, attached staff etc.
- Preparation and typing of private reports.
- Taking minutes at practice and staff meetings attended.
- Organising and booking clinics.
- Telephone Duties
- Making appointments for patients to see a GP at the surgery as requested.
- Making appointments for patients to see Consultants etc., privately or via NHS.
- Telephone contact with outside agencies.
- General Duties
- Dealing with problems (Obtaining and imparting information in an efficient manner).
- Processing of incoming and outgoing mail.
- Entering and updating patient information onto the computer system in line with secretarial duties.
- Photocopying of documents, reports and medical records.
- Processing Insurance Company requests, DSS forms etc.
- To be responsible for the copying and despatching of medical records when required and raising any necessary invoices.
- Liaison with other Doctors, Primary Care Trusts, Hospital Staff and Consultants.
- As part of the team being responsible for stationery stock control and ordering.
- As part of the team being responsible for monitoring photocopier usage and maintenance.
- Provide fulltime cover during sickness and holiday absence within the secretarial team.
- Take part in annual flu/covid vaccination clinics.

- Maintain good working relationships with other members of the practice/primary care team and staff from other agencies.

- To undertake such duties as may be required from time to time, as are consistent with the responsibilities of the grade and the individual's level.

Typing qualification
GCSE English Language or equivalent;
Working knowledge of Microsoft 365
Experience of working in the NHS environment

Experience of working in GP practice
Medical terminology
Current/previous use of Emis Web/Docman
Working experience of E Referral system
