Secretarial SupportTo provide secretarial and administrative support to appropriate S&SHIS meetings and training to include:
Arranging meeting.
To source appropriate venues for meetings and training, arranging refreshments as necessary (both on and off site)
Ensure appropriate equipment is available e.g. flip charts, projector as required
Preparation of agendas and supporting papers and circulation of relevant document to members of the meeting
Attendance at meetings where required to take minutes/action notes, circulation of minutes and arranging follow
- up action.
To provide secretarial and administrative support to S&SHIS Managers, Service leads and Team Leaders:
Manage scheduling with engineers and arrange site visits for the on-going maintenance of network cabinets and UPS rooms
Office Administration
To co-ordinate electronic diaries for the S&SHIS Senior Management Team
Assist in ordering of stationary where required for S&SHIS
Lead in the production of routine and ad hoc documentation as required using a range of software packages
Assist the Finance and Business Support Manager in maintaining health and safety, security and maintenance of the building
Arranging room bookings travel and hotel accommodation, where appropriate, for S&SHIS
Human Resources
To co-ordinate and support the recruitment of the Apprenticeship roles within the S&SHIS
To co-ordinate and support the process for work experience placements within the S&SHIS and to co-ordinate with Team Leaders timetables for successful
To assist the Line Managers of the apprentices by providing pastoral care to the new Apprentices using all methods of communication, regular update
On behalf of the relevant Line Managers, to liaise with the relevant colleges in the co-ordination of the apprentices training including the signing off of modules on behalf of the
To support S&SHIS in promoting work experience placement and apprenticeships within the S&SHIS with local education providers, including attending careers events to promote work experience and apprenticeships.
