Portsmouth Hospitals University NHS Trust is now recognised as a teaching hospital Trust in England.

With strong local ties and serving around 675,000 residents in Portsmouth and South East Hampshire, they pride themselves on providing comprehensive acute and specialist services.


The Trust has one main site, Queen Alexandra Hospital in Portsmouth, and looks after six peripheral community sites for outpatient activity.


The jobholder will support the smooth and effective operation of managing the activities of the Chief Operating Officer & Deputy Chief Operating Officer, ensuring they receive adequate and timely briefings to prepare them for meetings; coordinating and preparing agendas and papers for meetings; minuting meetings, efficient diary management; and providing a comprehensive administrative service.


Job Purpose

  • To project the Trust's vision as the first line of contact for the Trust's most senior management, acting
with discretion and confidentiality at all times.

  • Maximise the Chief Operating Officer's & Deputy Chief Operating Officer's time to the greatest
efficiency and value by working without supervision and in a pro-active manner.

  • Communicate effectively and appropriately on behalf of the Chief Operating Officer & Deputy Chief
Operating Officer with patients, staff and colleagues in the Trust, external agencies and organisations

  • Prepare papers and presentations for meetings
  • Manage and maintain an efficient, electronic filing system
  • Respond to telephone calls and post.
  • Understand work procedures, keyboard skills, IT programmes, specialist functions, photocopying, scanning, audiovisual aids and diary management to facilitate the running of the Chief Operating Officers workload.
  • Review and revise office procedures to ensure compliance with Trust Policy and office processes.

Essential Requirements

  • Three years experience within the NHS working at executive/senior level or
  • Five years experience outside the NHS in an equivalent role or administrative level
  • Experienced in using Windowsbased operating systems with knowledge of work processing, spreadsheets, databases and presentation software
