About The Role:


Reporting to the Delivery & Operations Director, the Operations Officer is a pivotal role ensuring we have efficient processes & systems in place to support the production of accurate and timely data which is critical to the successful running of our business.

This role description is not inflexible but is an outline and account of the main duties and capabilities.

The role holder should, however, carry out any other reasonable duties commensurate with the role, as the needs of the company require.


Responsibilities

  • Gmail, Harvest, Slack, Miro (any other required systems) set up
  • Add team time off to Forecast weekly via HiBob
  • Ensuring projects are accurately setup in Harvest in line with agreed Statements of Work
  • Ensuring accuracy of data inputted into Harvest i.e. cost rates and billable rates are regularly checked
  • Maintaining an accurate record of the contractor and staff tracker
  • Liaise with contractors on required information to draw up contracts for sign off
  • File signed contracts alongside ID/checks/insurance details appropriately
  • Provide regular check ins / be the main point of contract for contractor queries
  • Liaise with contractors on any time off/annual leave required, updating Forecast as required
  • Ensure all staff and contractors timesheets are in and checked by day 1/2 to ensure flash figures by day
  • Work with capability leads & operational leads to ensure timesheets are completed on time and are accurate (to include contractors)
  • Project operations around staff travel (trainline, hotels, flights), expenses, incentives etc. Staff / office admin to include gift purchasing, events, conferences and personal development courses

About You:


Essential Experience

  • Excellent interpersonal skills with ability to communicate effectively at all levels
  • Ability to manage and coordinate associated management systems
  • Ability to work on own initiative
  • Fast learner
  • Excellent written and verbal communication skills
  • Previous client facing experience is desirable
  • Ability to recognise and implement required changes to systems and procedures
