Description

We are currently recruiting for a Support Services Coordinator / Administrator to be based from our Leeds office, LS12 with parking on site.

This role is a 6 month Fixed Term Contract.


Responsibilities:


You will:


  • Log into the customer lines to receive incoming calls and make outgoing phone calls, liaising with customers to provide them with regular updates
  • Carry out daily monitoring of all outstanding and overdue reactive/planned preventative maintenance (PPM) and quoted jobs, progressing all calls through to completion.
  • Allocate reactive/quoted works to engineers and scheduling the work in, ensuring that travel time is minimised where possible.
  • Instruct subcontractors to carry out reactive callouts, and see the call through to completion
  • Raise purchase orders (POs) for equipment / materials & ensure the receipting of goods is up to date, and assist with resolving queries.
  • Obtain relevant order number/instruction for quoted works, ensuring all documentation and customer approvals are attached to the system.
  • Ensure all relevant documentation/paperwork (eg reports) are attached to each job so it can be invoiced.
  • Monitor and carry out administration of staff Competencies and Authorisations & Safety Passports, organising training courses ensuring they are recorded and kept up to date.
  • Set up and monitor new contracts and contract renewals.

Requirements:


You will have:


  • Prior experience of Service Controller role in M&E or related service businesses.
  • Desirable but not essential as full training will be given.
  • Excellent organisation and communication skills.
  • Good attention to detail.
  • The ability to work well as part of a team but also using your own initiative to complete tasks.
