Applications are invited for the above fixed term part-time post working in the Employability Service. The post holder will provide administrative support to ensure the successful delivery of the Work Experience Support Programme.

This post will report to the Work Experience Support Programme Manager.


The ability to communicate through the medium of Welsh or demonstrate a commitment to learn to a specified level is essential for this post.

Overview


Funded by the Higher Education Funding Council of Wales (HEFCW), the Work Experience Support Programme provides targeted support to students who are experiencing barriers to accessing work experience opportunities.

The project operates within the Employability Service and provides tailored support for students, ranging from individual guidance, coaching sessions, skills development, bursaries and work experience placements.


The Work Experience Support Administrator will be responsible for supporting with the delivery of a programme of activities, working alongside the Work Experience Support Programme Adviser and Manager and the wider Employability Service Team.

Purpose of the Job


The role will include working collaboratively across the University as well as with employers and external organisations and individuals / stakeholders.


Outstanding communication skills and organisational skills will be essential for the role, in addition to proven experience of financial administration.


The ability to demonstrate an understanding of the importance of equality, diversity and inclusivity is essential and marketing and research skills would be advantageous.

Main


Responsibilities:


  • To maintain accurate database records to ensure the effective administration of the programme.
  • To monitor participant progress, activity and engagement.
  • To handle queries from students, employers and other stakeholders.
  • To provide financial administrative support, ensuring compliance with HEFCW and BU policy requirements.
  • To support with the coordination and dissemination of promotional material, such as webinars, newsletters, social media and communications to raise awareness of the support available.
  • To assist with the organisation, promotion, and coordination of events.
  • To ensure the accurate gathering of information and other data for delivery, monitoring, reporting and audit purposes.
  • To provide general calendar management, including appointments, meetings and events.
  • To collate information for the Work Experience Support Programme Manager for reporting purposes.
  • To ensure that all necessary paperwork associated with the Work Experience Support Programme is completed appropriately and meets audit requirements.
  • To contribute to central employability service activities and events as and when required.
  • To contribute to the evaluation of central employability services ensuring continuous improvement in the quality and range of the services to ensure they represent best practice in the sector and are responsive to the needs of the diverse student body.

The post holder will be expected to participate in performance review and developmental activities.

  • Proven experience of working in an administrative role, recording and managing information effectively and accurately using excel spreadsheets, databases and electronic filing systems.
  • Ability to coordinate and manage data from various sources.
  • Experience of working with calendars or booking systems.
  • Experience of financial administration systems and budget handling.
  • Experience of working as part of busy, multidisciplinary team.
  • Good understanding of the student experience and the importance of delivering student / graduate focused services.
  • Awareness of the importance of equality, diversity and inclusivity.
  • Experience of working in a bilingual environment.

Desirable:

  • Experience of producing content for social media and/or newsletters.
  • Previous experience of project work and delivering to deadlines.
