The opportunity has arisen for an enthusiastic and self-motivated clerical officer to join to our administration team.

This post is for 1 year on a fixed term contract and will commence at the end of October 2023.

The posts involve a range of clerical duties e.g. data entry, managing telephone calls, arranging appointments and reception duties.

This post is fixed term/secondment for 12 months to meet the needs of the service.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

To undertake a range of clerical duties e.g. data entry, scanning, photocopying, reception duties.


To deal with telephone enquires, ensuring effective systems are in place to record, prioritise and follow up, while maintaining confidentially.

To enter immunisation details, blood results and test results onto the clinical database.

To input and access data on the departmental clinical database ensuring demographic details are up-to date.

Maintain confidentiality of occupational health records and information relating to clients, colleagues and organisation at all times.

Deal with internal/external requests for information in accordance with data protection and statutory policies and procedures.


Flexible to the needs of the service and cover all sections of the department across the Health Board in locations other than the base site as and when required.

Complete all relevant training appropriate to the role and all mandatory training as required under the Health Board guidelines.

To maintain good, professional communication with all staff, managers, GP's and the general public.

To have an understanding of the Health Board's Records Management Code of Practice

Deal with enquiries and complaints promptly and sympathetically. Inform line manager of any problems immediately

Staff are all expected to work to agreed departmental standards at all times

Any other duties that may arise that are commensurate with the band.
