We are looking for a highly motivated individual to work in our Admin team to undertake administrative tasks in the office.

The administrator is responsible for supporting with the administrative, financial and organisational processes within the school.

They will also act as the initial point of contact for parents, visitors and other stakeholders so will be an ambassador for the school and embody the value, vision and ethos of the school in all interactions.


Duties and responsibilities can include:


General administration

  • Update manual and computerised record/information systems
  • Update and maintain the school calendar
  • Manage and organise completed forms from parents
  • Report any issues with the school's IT systems
  • Organise and distribute incoming and outgoing post
  • Provide administrative support to staff as needed
  • Carry out filing, printing and photocopying. Maintain the operation of the printer and photocopier to ensure it's ready to use at all times, resolving any issues as necessary
  • Keep records in accordance with the school's record retention schedule and data protection law, ensuring information security and confidentiality at all times

Admissions administration

  • Administrate the schools admissions processes, following the schools admissions policy and in year transfer policy.
  • Ensure all checks are completed and recorded, communicating effectively with the inclusion team, teachers, previous settings and OCC's admissions officer.
  • Carry out and organise visits for any prospective families.
  • Send off/request any associated Safeguarding and CP records.

Attendance administration

  • Initiate and oversee the administration of absence procedures, for example letters home, attendance clinics and engagement with local authorities/other external agencies and partners
  • Manage the process of issuing penalty notices to parents
  • Maintain accurate records of communications with parents/carers and relevant interventions
  • Build and refresh knowledge of the school's MIS and other relevant systems
  • Produce and interpret attendance reports for school leaders, identifying key statistics, reasons for absence and any patterns of concern
  • Track attendance of vulnerable groups of pupils and share information with school leaders
  • Identify pupils that need additional support to improve their attendance
  • Work with school leaders to identify appropriate interventions to improve attendance for particular groups or individual pupils.

Website

  • Manage the school's website and create the newsletter each week.

Written communication

  • Assist with marketing and promoting the school

Other areas of responsibility

  • Read and follow the relevant school policies
  • Undertake training required to develop in the role
  • Ensure all duties and responsibilities are undertaken in line with the school's health and safety policy
  • Contribute to the safety of children and young people and protect them from harm

Job Type:
Fixed term contract

Contract length: 11 months


Salary:
From £19,264.00 per year
