    Job Summary

    Woodland Medical Practice is seeking a temporary Medical Receptionist for 24 hours per week. The practice has approximately 8000 patients, three GP partners, and an experienced nursing and administration team.

    The role offers flexible working with occasional holiday cover and late evening shifts as part of a rota.

    Main Duties

    The position involves working as part of a close team dealing with patient queries, booking appointments, raising repeat prescriptions, and liaising with GPs and other healthcare professionals.

    The ideal candidate will have excellent telephone manners, experience in dealing with the public, and good IT knowledge and skills. Training will be available.

    A personable, outgoing, and friendly manner is essential for this role.

    About Us

    The practice consists of seven receptionists, two secretaries, and admin staff. We have six GPs, one Advanced Nurse Practitioner, and an established nursing team.

    We work in a small, close, friendly, and supportive team where teamworking is essential. We support flexible working requests wherever possible and encourage development within roles.

    Job Responsibilities

    JOB TITLE: MEDICAL RECEPTIONIST

    REPORTS TO: PRACTICE MANAGER

    HOURS: Part-time temporary, minimum 24 hours per week

    The purpose of this role is to:

    Offer general assistance to the practice team and project a positive, friendly image to patients and visitors, either in person or via the telephone.

    Receive, assist, and direct patients in accessing appropriate services or healthcare professionals in a courteous, efficient, and effective way.

    Undertake administrative duties to assist in the smooth running of the practice, including providing secretarial and clerical support to clinical staff and other team members.

    Facilitate effective communication between patients, primary healthcare team members, secondary care, and other associated healthcare agencies.

    Duties and Responsibilities

    The duties and responsibilities may include any or all of the following items. Duties may vary under the direction of the senior receptionist/practice manager, dependent on current and evolving practice workload and staffing levels:
    • Opening up/locking up of practice premises and maintaining security according to practice protocols
    • Maintaining and monitoring the practice appointments system
    • Processing personal and telephone requests for appointments, visits, and telephone consultations, ensuring callers are directed to the appropriate healthcare professional
    • Processing and distributing incoming/outgoing mail
    • Taking messages and passing on information
    • Filing and retrieving paperwork
    • Processing repeat prescriptions according to practice guidelines
    • Computer data entry/data allocation and collation; processing and recording information according to practice procedures
    • Initiating contact with and responding to requests from patients, other team members, and associated healthcare agencies and providers
    • Providing clerical assistance, including word/data processing, filing, photocopying, and scanning
    • Keeping the reception area, notice-boards, and leaflet dispensers tidy and free from obstructions and clutter

    In the course of seeking treatment, patients entrust us with sensitive information related to their health and other matters. They do so in confidence, expecting staff to respect their privacy and act appropriately.

    The post-holder may access confidential information relating to patients, carers, practice staff, and other healthcare workers. This information should only be divulged to authorized persons according to practice policies and procedures regarding confidentiality and data protection.
