Position Overview:
As Admin assistant you have to look after the administration functions of the company, being Management PA, assist the finance team and working with the team to support smooth functioning of the operations.
Key Responsibilities:
- Provide administrative support to ensure efficient operation of the office.
- Being PA to the management, attending meetings and taking meeting notes, including organisation of international travel.
- Assist in organizing and scheduling appointments, meetings, and events.
- Maintain office filing systems, both electronic and physical.
- Manage incoming and outgoing correspondence, including mails and deliveries.
- Prepare and edit documents, reports, and presentations as needed.
- Assist in the preparation of expense reports and budgets.
- Perform data entry and update records as required to assist Finance team including organisation of invoices.
- Answer and direct phone calls in a polite and professional manner.
- Liaise with internal teams and external partners to coordinate administrative activities.
- Handle the office admin service suppliers and the contracts, communicate with them as and when necessary.
- Office management: Ordering office supplies, coordinating maintenance services, and ensuring the office environment is wellmaintained.
- Execute procurement/purchase orders as requested by the procurement or technical teams.
- Handle requests and queries from managers and executive team promptly and professionally, including preparing and distributing communications.
- Processing of sales and purchase orders.
Demonstrable Traits/Skills:
- Good time management skills, including the ability to work to deadlines.
- Have good skills, in relation with communication, organisation, adaptability, problemsolving, customer service, multitasking, and confidentiality.
- Team player ability to manage working relationships at all levels.
- Some background in finance data entry will be an added advantage.
Qualifications:
- High school diploma or equivalent.
- A few years of office experience.
Package:
- £20-£25k depending on experience
- Prorata part time applicants are welcome, up to 75% FTE.

£20,000.00-£25,000.00 per year
