Position Summary_


This role is responsible for providing efficient and professional Front of House management and services for our pharmaceutical client based in Marlow, including switchboard calls, visitor management and maintenance of switchboard database.

Supporting of site services, and engagement with users on the co-ordination and needs of services. Responsibilities further include adhoc support as needed to the Facilities Management Team.

Please Note:_

- (Reception will be covered fully during the hours of 08:00 and 18:00, Monday to Friday and that cover for annual leave or sickness, and lunch time cover will be covered by the reception staff. In order to achieve this, the reception services will be covered by two part-time roles, on a rotational shift basis - on alternative weeks with one typically covering the hours of 08:00 - 13:15, hours per week), and the other typically covering the hours of 12:4- 18: hours per week) with the expectation that each member of reception staff will work extended hours to cover periods of annual leave or sickness absence of the other), these additional hours will be paid at the normal rate of £15.00 per hour._

Role: Call Management_

To manage calls using the switchboard software to ensure that callers are directed to the correct person/department first time.

  • To answer the phone within 3 rings where possible
  • To answer the phone using a welcoming and happy tone
  • Screen call accordingly to direct the caller to the right destination first time
  • Ensure compliance with Adverse Event Reporting and Customer Services
  • To ensure no names or personal information is given out
  • To communicate to cold callers that they must introduce their company in writing or via the website

Role: Visitor Management_


To meet and greet visitors in a professional, courteous and efficient manner and ensure they follow process for signing in and out of the relevant book.


  • To welcome visitors with a cheery smile and professional manner
  • To ensure visitors sign in and out in the relevant visitors' books
  • Notify promptly company personnel of visitor arrival
  • To collect badges from the collection points around the building and sign out on the visitors' books
  • To create bespoke badges for visitors when requested
  • To keep the Visitor's Diary up to date with meeting and appointment entries
  • To the Reception area clear and tidy at all times
  • To direct courier deliveries to the Post Room and sign for parcels if the Post Room is unmanned

To support ad-hoc site services as needed.

  • Reception Induction/Welcome for all new starters, building handbook
  • Security Badge Coordination for all new starters
  • Coordination of building maintenance need logs
  • Creation of hospitality card needs
  • Meeting room support for bookings
  • Internal PO raising & admin.
  • Personal Car Registration Log

Role: External Supplier Co-Ordination_

To co-ordinate external supplier services in a professional, timely and effective

  • To coordinate weekly car valeting to ensure staff are made aware of the service and that monies are received and passed on to the supplier
  • To coordinate the Dry Cleaning service to ensure staff are aware of the service and that monies are received and passed on to the supplier
  • To coordinate with staff when cars are collected for servicing etc.

Minimum Requirements_

Education and Experience:_

  • Proven Experience as receptionist, front of house or similar
  • HR administration experience in a similar position or Graduate seeking HR Role
  • Knowledge of UK employee benefits/Payroll an advantage
