Description

To provide an efficient service in the Gynae Outpatient department and help support with the booking, prepping and management of Gynaecological & Obstetric appointments and notes in the area.

To assist in the smooth running of the Antenatal & Gynaecology outpatient service.

The administrator will work in conjunction with nursing staff to provide administrative support throughout the patient's journey within the department.

The role involves daily face-to-face contact with patients and relatives whilst liaising with nursing staff. The role will involve booking appointments, prepping notes, general admin and clerical duties.

Use the computerised patient management system (E-Camis) to access patient details, update information and make appointments.

Be responsible for the ordering of stock and to ensure

Organise workload in conjunction with other members of staff reporting any problems as necessary.

Undertake training and professional development as identified in an annual performance review.

To welcome all patients and staff within the department in a professional manner, making them feel comfortable and at ease and to direct them to the appropriate area.


Answer telephone enquiries in an appropriate manner reporting information to patients, nursing staff and other members of the multi-disciplinary team.

Maintain good written and verbal communication between all departments and outside agencies.

Use the computerised patient management system (E-Camis) to access patient details, update information and make appointments.

Be responsible for the ordering of stock and to ensure adequate levels are maintained.

Photocopy documents/notes as required.

Locate, collate, file and store patient's notes as appropriate. This may involve going to Medical Records and various departments to collect notes at short notice.

Deal appropriately with distressed patients and/or relatives with support from nursing staff.

Report any problems relevant to the department to the lead clinician or line manager. When asked to do so, you will need to contact patients to confirm or cancel planned appointments.

Organise workload in conjunction with other members of staff reporting any problems as necessary.

Undertake training and professional development as identified in an annual performance review.

Assist in the training of new members of staff.


To have a smart appearance, ensuring that he/she adhere to the uniform policy of the Trust and remain bare below the elbow at all times.


These duties and responsibilities may be changed in accordance with the needs of the Directorate and in particular the post holder may be required to provide support to other areas within the department as required and to carry out any other relevant duties that may be requested.
