This role will be a key business and administrative support for the Occupational Health & Wellbeing (OH&W) service in the United Kingdom and Ireland.
The role requires direct interfacing between our third-party occupational health providers and our supply sites in the administrative co-ordination and planning of health surveillance, and wellbeing training.
Purpose of the role
The purpose of the role is to provide planning, scheduling, administrative and analytical support to the Occupational Health & Wellbeing Team, which is responsible for the co-ordination and implementation of occupational health and wellbeing services to employees.
Dimensions:
The Occupational Health & Wellbeing Service covers all employees throughout United Kingdom and Ireland in respect of the provision of occupational health services, and for wellbeing globally.
Occasional travel may be required to some sites to engage with Diageo partners and colleagues in order to support service delivery.
There is no budgetary responsibility within this role.Planning support for the Health Surveillance Programme
Liaising with Diageo's third party occupational health (OH) provider and the business to plan and arrange health surveillance appointments and support the delivery of the heath surveillance programme through planning, co-ordination, and appointment activity
This includes:
- Liaison with the site planners to formulate and coordinate health surveillance schedules.
- Assist the third party provider in the development of the 12month health surveillance and health assessment forecast.
- Monitor utilisation trends and use this to assist scoping of the 12 month plan, ensuring adequate OH service time is deployed to meet site needs
- Monitor third party provider delivery performance and, where required, raise concerns and provide support for improved ways of working.
- Use Joiners / Movers / Leavers (JML) report to inform the third party OH provider of JMLs and update schedule for joiners / leavers on a monthly basis. Contribute to the OH team philosophy and be a visible and participatory member of the team
Mental Health First Aid (MHFA) support:
Liaising with Diageo's third party mental health first aid provider and the business to plan and arrange a schedule of mental health first aid training, and support the delivery of the mental health first aid programme through planning, co-ordination and scheduling activity
This includes:
- Liaising with Diageo's third party mental health first aid provider to arrange the training schedule
- Liaising with internal partners in support of the delivery of the MHFA programme, and take responsibility for the fulfilment of training courses
- Develop MHFA communications and engagement assets as appropriate
- Develop and update MHFA Directory on the OH Mosaic site
- Manage and arrange MHFA inductions and ongoing development sessions
- Monitor and action outcomes from MHFA contact form and collate data as required
- Monitor and update MHFA Viva Engage page
- Review and action first aid leavers to stop payment
Data and analytical support:
- Update and integrate OH management information and wellbeing data with internal workforce data as required to support business need and risk / trend identification
- Ability to produce reports relative to own workstreams as required
Communication and engagement support:
- Organise and schedule OH business engagement activity
- Develop and update OH Mosaic and Viva Engage pages
Administrative activities:
- Monitor and respond to OH mailbox activity
- Manage and respond to general OH enquiries
- Coordinate file management systems
- General purchase order/ invoicing support
- Support leadership team to complete their admin duties
Essential:
- Strong interpersonal skills to develop and maintain good working relationships at various levels and to resolve issues autonomously
- Ability to navigate change and engage positive influencing skills
- Strong written and oral communication skills and professional approach
- Excellent organisational and planning skills with the ability to use initiative, prioritise and manage work to completion
