Launched in 2005, The Event Umbrella produces and facilitates extraordinary events, offering a variety of event management solutions.

Across our Place and Live teams, we have specialists in land management, strategy and development, production, curation, artist and trader management.


TEU's Place Service - focuses on transforming outdoor spaces into vibrant, multi-use, cultural event venues on behalf of landowner clients. The events are usually produced and organised by external/3rd parties and the service provides venue management, rather than event production. TEU's clients are primarily local authorities and in the last few years we have worked with Ealing, Richmond, Enfield, Barnet and Medway council's event services.


TEU's Live Service - delivers bars, catering and events on behalf of commercial and local government clients. TEU also delivers in-house events. TEU has experience of working on a wide range of festivals to include Ealing Summer, Canterbury Food and Drink Festival, Barnet Summertime and Chatham Maritime and Food and Drink Festivals.


Location:

- *There will be a requirement to attend the relevant borough offices or site visits up to 104 days per year (2 days/week) to meet the needs of the specific contract; to include regular office work, attendance at meetings, site visits, and training._


Working Pattern:

Full time Monday to Friday, flexitime hours to be agreed.


The Event Umbrella (TEU) is seeking to recruit an Event Co-ordinator to work in the company's Place Services department, who will focus on one or more of the company's key contracts and to support on other contracts as required.

This role would suit someone with outdoor event production knowledge. However, it is an outdoor venue management role for 'Place Services' and therefore does not involve direct event production.


Dependant on the scale of the assigned contract, an Event Co-ordinator may be required fulfil the duties of Project Manager (i.e., for a small-scale project).


This is likely to include the following responsibilities:

  • Primary contact for the client
  • Responsible for the daytoday delivery and smooth running of the contract
  • Responsible for managing the workload for that project (and identifying any issues to the Contract Manager)
  • First point of contact for event coordinators/assistants on matters specifically relating to that contract (this is not line management responsibility)
  • Agreed presence at client office (as defined in contract agreement)
  • Attend meetings with client on behalf of TEU


Alongside this, the role will include the processing and management of 'activity bookings' e.g., Sports and group fitness or educational activities, taking place in the borough's parks and open spaces.


There will be an occasional requirement to deliver or assist on the delivery of other TEU produced events and to undertake any other temporary duties consistent with the basic duties and/or objectives of the post.


Essential Knowledge, Skills and Experience

  • At least 3 years of experience in an event related role.
  • Strong administration skills, with the ability to follow defined processes.
  • Self-reliant and well organised to be able to prioritise and manage a wide range of tasks and achieve results, sometimes within tight deadlines.
  • Flexible and creative approach to problem solving.
  • Ability to monitor and manage budgets and administer income and expenditure processes
  • Commercial awareness to promote outdoor event venues, increase revenue and meet income targets.
  • IT literate who is confident using Microsoft Office.
  • Proven communication skills (especially written and verbal English skills), with the ability to liaise with a diverse range of audiences.

Desirable Knowledge, Skills and Experience:


  • A passion and desire to assist community and charitable organisations
  • Experience and knowledge of working within a Local Authority environment
  • Experience of venue hire/venue management
  • Educated to degree level
  • Knowledge of the Purple Guide and safe practice at events
  • IOSH Trained
