An opportunity has arisen for an experienced PA/Administrative Assistant to join the EMEA Procurement Team supporting the Director and Leadership team.

This role reports to the EMEA Procurement Director whilst also supporting the wider Leadership Team

The Role


You will be comfortable working in a fast moving and dynamic environment and will be highly organised with the ability to effectively manage and prioritise their workload.

It is essential that you are able to work effectively with senior leaders and their teams, as well as end users.


You will be proactive, collaborative, and adaptable with excellent organisation and communication skills, managing multiple projects and leader requests and have the ability to build great relationships with people at all levels with both internal and external contacts.

This is a hybrid (home/office) role with regular attendance at our office in Tadworth, Surrey and some travel to support offsite activities on an adhoc basis

Responsibilities will include general administration such as:

  • All administrative duties as required, efficiently manage tasks accurately and on time, making recommendations and implementing improvements where viable
  • Manage all travel requirements for Director both domestic and international, including any visa requirements, expense claim management in line with company policy.
  • Processing expenses using system Concur
  • Ownership & organisation of Quarterly Leadership Team meetings / team events, Town Hall meetings, team trainings, & adhoc events such as Wellbeing Week. A combination of virtual and face to face event management across varying locations and time zones
  • Coordination & creation of central documents, collating information, PowerPoint presentations etc
  • Using SAP system & following internal processes to raise Purchase orders on behalf of the team adhoc basis
  • Creation and distribution of communication materials e.g. monthly Town Halls, team updates, weekly vlogs, MyVOICE results, need to know information for the team.
  • Utilise & leverage collaboration tools (Yammer, Microsoft Teams, Zoom.) to inform, update and communicate to the Procurement team to enable stronger hybrid team connections and interactions
  • Assisting the Leadership Team with onboarding new employees and leavers process
  • Network and maintain strong relationships with all internal stakeholders, business partners and external suppliers where required
  • Develop and maintain an understanding of the wider business context to enable good quality to support & prioritise accordingly and act as a go to person for the EMEA Procurement Team
