Executive Assistant to the CEO

10 month Maternity Cover -
London
Working hours: 40 hours
Monday - Friday 9am to 5pm. Due to the nature of the role, flexibility is required.
Working Semi-Hybrid with Tuesdays and Thursdays in the office.
We are looking for a bright individual with strong experience as an Executive Assistant to support the CEO and Senior Executive/s covering a duration of 9 months for maternity leave.
The chosen individual will need to ensure the smooth running of an office based near Farringdon Station with a team of around 20 people, along with the support to our other locations in the Netherlands, USA & India.
We are looking for a confident Executive Assistant who is hardworking, trustworthy and professional with a can-do attitude to cover this important role.
Duties and responsibilities will include:
- Extensive diary management, both Nationally and Internationally
- Travel arrangements
- Assisting the Board with meetings, logistics such as travel, meals, taxi's and other required arrangements
- Taking minutes in meetings and following up with the actions
- Projects such as Company functions, team events, office changes
- Inbox management being confidential and discreet at all times
- Being able to prioritise workload, ensuring Senior Executives are where they need to be at any given time with the appropriate tasks actioned
- Ability to manage basic HR functions as you will be supporting the UK office, Netherlands & USA team
- Liaising with the HR team to Preboard/Onboard new team members when required
- Bookkeeping/management of invoicing where necessary
- Overall office management
- IT requirements from staff, stationary, fixtures, phones etc.
- Working 1:1 with the CEO
- Managing visa's / work permits. Along with keeping a record on employee locations
- Dealing with the business annual insurances, such as medical.
Skills and experience required:
- High level of proficiency in English is a must.
- Proven EA /
PA experience - Extensive diary management, travel and meeting arrangements
- Excellent communication skills both verbally and written
- Ability to multitask and work to deadlines
- Experience of setting up Board meetings
- Proficient in use of MS Office and Excellent IT and presentation skills
