On a typical day you will: as a Patient Services Administrator you will play a pivotal role in how we support our patients throughout their healthcare journey. Provide a high-quality administrative service for the practice to ensure an efficient service, to ensure patients feel informed throughout the process, and provide administrative support to colleagues
Job Summary
The purpose of the role is to perform a range of administrative and office support activities:
- Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
- Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of support to clinical staff and other members of the practice team
- Facilitate effective communication between patients, members of the CCG (Clinical Commissioning Group), secondary care and other associated healthcare agencies
Main Tasks and Responsibilities:
Reception
- To make appointments and resolve enquiries either in person in reception or on the telephone, ensuring patients are directed to the appropriate healthcare professional
- Maintaining and monitoring the practice appointments system
- Keeping the reception area, noticeboards, and leaflet dispensers tidy and free from obstructions and clutter
- Book GP home visit requests
- Contact patients by telephone at GP request
- Arrange for District Nurses to visit patients at GP request
Admin
- Computer data entry / data allocation and collation; processing and recording information in accordance with practice procedures
- Ensure that new patient registration forms are correctly completed, and all information required is present and correct. Registration of new patients on clinical system
- Updating patient details on the clinical system
- Chase up test results
- Booking patient transport or emergency blue light
- Tasks (within the clinical system) issued by clinical staff to be completed in a timely manner
- Any other requirements, as directed by management, are deemed to be within the staff member's competence
- Processing repeat prescriptions following practice guidelines
Correspondence
- Processing the post
- Processing incoming electronic communications i.e., hospital correspondence, PATCHs messaging system, coding, and processing as necessary
Person Specification
Education and Experience
- Experience of working within General Practice is desirable.
- Competent in various
- A proficient understanding of IT packages and knowledge of relevant software
- Knowledge of operation of standard office equipment
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping

- Excellent customer service and the ability to manage all enquiries professionally and courteously, in person, on the telephone or via messaging.
- Uses own initiative and can work independently, ability to prioritise tasks and meet deadlines whilst to maintain accuracy and attention to detail.
- Ability to work as part of a small team, building professional, friendly, and accessible relationships with employees and managers.
- Flexibility in working patterns; provide ad hoc cover for staff taking holidays or sick leave.
- A strong understanding of confidentiality and data protection
- A supportive, trustworthy, and reliable approach to their work in an empathetic and caring manner.
