Job Summary


Reporting to both the Operations Manager and Managing Director, this role has the responsibility for the provision of administrative support to the Operations team with the tasks listed below.


Main Duties & Responsibilities
The role will include the following duties and areas of responsibility (business as usual and projects)


Customer

  • Controlling and despatching drivers, including monitoring circuits, drivers and subcontractors, ensuring collections and deliveries are made in a timely manner
  • Dealing with problems and queries arising from the day to day transport operation and provision of services to our customers
  • POD matching/collating and sending of customer invoices

Drivers and Subcontractors

  • Driver data tasks, such as driver licence checks, holiday requests and other HR related administrative duties
  • Subcontractor control tasks, booking subcontracted jobs on systems, invoice processing, price checking, proof of delivery matching, payment report creation and payment processing
  • Checking Tru-Checks system to ensure that daily defect checks are being completed by drivers

Asset Management, Operations and General

  • Checking DES system to perform diesel matching and associated tasks
- overseeing PCNs and fines, including cost control, driver expense allocation and record control

  • Monitoring driver behaviour, including telematics analysis and reporting, processing driver weekly check and fuel sheets, vehicle checks and similar
  • Monitoring and managing fleet related accounts, such as Dart, TfL, lease companies, fuel card providers and more
  • Clandestine prevention tasks and reporting
  • Other GJS system related tasks, such as driver and customer creation, gateway tasks
  • General administrative tasks, such as ATA carnet's, customer paperwork, planning, facilities and building tasks
  • General miscellaneous tasks, such as warehouse help, loading/unloading vehicles, occasional driving jobs, project work and other such duties
  • Represent the Company in a positive and professional manner, in keeping with company values
  • Any other duties as may reasonably be requested from time to time
Person Specification


Essential

  • Two years of experience within an administrative / operations / customer service role
  • Excellent verbal and written communication skills
  • Good computer skills including MS Word and Excel
  • Strong problemsolving skills
  • The ability to work in a fastpaced environment, meet deadlines and work across various functions day in, day out
  • A good level of accuracy and attention to detail
  • Good interpersonal skills to work individually as well as part of a team
  • Committed, adaptable, reliable and punctual
  • Conscientious work ethic

Desirable

  • Experience gained in the road transport industry, ideally from a leading same day courier company or similar

Job Type:
Temporary contract

Contract length: 6 months

From £22,000.00 per year
