At Sirona care & health, we have been working intensively to design the future of our administration service in our Integrated Network Teams.

Through engaging colleagues and representing their views in workshops, we have developed our administration roles.

Our Integrated Network Teams (INTs) deliver out of hospital care to people in their own homes or community clinics.

We provide these services to people who are registered with a GP within Bristol, North Somerset, and South Gloucestershire (BNSSG).


As a member of our administrative team you will play an essential role in supporting clinical colleagues who work in these teams providing care during the hours of
8am 8pm, 7 days a week.

The administrative team work alongside clinical teams who include Nurses, Physiotherapists, Occupational Therapists and support staff.

You will regularly communicate across the whole team as well as with service users and colleagues across the wider organisation.


Main duties of the job

  • Provide a professional service to a range of customers.
  • Respond appropriately to unexpected and challenging situations.
  • Give nonclinical advice appropriately.
  • Manage and escalate issues as appropriate.
  • Liaise with colleagues, patients and external contacts regarding complex messages and patient queries (including sensitive information) to help the team run effectively.
  • Adapt communication according to a diverse range of situations.
  • Maintain awareness of priorities.
  • Line manage, train and mentor colleagues/new staff.
  • Organise own and others' time to meet deadlines and coordinate priorities.
  • Plan staffing requirements develop and amend rotas ensuring adequate daily staffing levels.
  • Problem solve to manage patient expectations.
  • Organise meetings, set agendas, take minutes and follow up actions.
  • Undertake project administration.
  • Follow standard operating procedures, contributing ideas for process improvements.
  • Support managers with recruitment.
  • Deputise for managers.
  • Assist with office management and safety.
  • Responsible for expenditure authorising and ordering of stationery and supplies.
  • Maintain records relating to medical devices and equipment.
  • Transport supplies as required.
  • Create and maintain accurate records in line with confidentiality guidelines.
  • Collate and input data using various systems, producing reports.
Some posts require unsociable hours and travel, sometimes at short notice to meet service needs. Late shifts and weekends are required on a rota basis. Some posts allow an element of home working.


Criteria

  • Significant practical experience in a wide range of relevant administrative procedures, preferably supported by an NVQ 3 in administration, or equivalent training/demonstrable experience.
  • Numeracy and literacy level 2 qualification or equivalent demonstrable skills.
  • Evidence of undertaking personal/professional development.
  • Willingness to undertake training required for the role.
  • Administration work relevant to position applied for (e.g. typing, minute taking, filing, mail management).
  • Experience of delivering excellent customer service over the telephone and in person.
  • Diary management and organising meetings/events.
  • Experience of working well in a team environment and able to act on own initiative.
  • Effective interpersonal and communication skills.
  • Able to prioritise time and tasks.
  • Able to supervise others and deputise for managers.
  • Positive approach to change and supporting others through change.
  • Able to show resilience under pressure with access to appropriate support.
  • Frequent, nonroutine problemsolving.
  • Working in a health/social care or serviceoriented organisation. _(Desirable)_
