About The Role


As a transport Admin Clerk you will be one of the first points of contact for our drivers, dealing with general queries and escalating any issued to management.

Some of the roles you could be doing include:

  • Maintain a full knowledge of operational procedures in relation to Transport.
  • Update daily the Fleet KPI detailing all fuel, mileage and fleet costs.
  • Ensure wage data is entered correctly onto the DWR system from route sheets on a daily basis, weekly overtime sheets and comprehensively checked prior to submission to the Payroll Department by the agreed deadline paying attention to any addpay or upgrades required
  • Ensure the LGV drivers hours are entered correctly on the Drivers Wage Spreadsheet and the Working Time Directive Spreadsheet.
  • Ensure all weekly/monthly reports are sent to relevant personnel.
  • Ensure LGV Tacho download reports created weekly for both drivers and vehicles.
  • Ensure merridale fuel system kept up to date daily by downloading data. Entering weekly fuel receipts and producing reports when required.
  • Ensure sufficient fuel is on site in fuel bunker and forecasting usage to order fuel in advance.
  • Ensure proactive planning of maintenance to all vehicles and liaise with respective suppliers/contractors.
  • Ensure wall charts kept up to date in line with legal requirements paying attention to MOT/Tax/LOLER/Tacho Cal/Inspections/Fridge etc etc
  • Ensure all absence request forms are entered onto K-Time/Promark system and the holiday spreadsheet is kept up to date with all absence details.
  • Ensure all new starters/leavers are added to/removed from all respective systems.
  • Ensure all new vehicles/hire vehicles/defleeted vehicles/dehired vehicles are added to/removed from all systems including wall charts.
  • Ensure all transport related spreadsheets are kept up to date on a weekly basis.
  • Maintain a transparent filing system accessible to all.
  • Support other sections of Transport and Transport Administration as and when required.
  • Ensure your nominated holiday cover is fully apprised of any changes to existing practices.
  • Maintain office housekeeping/hygiene, including regular cleansing and archiving of computer and hard paper files.
  • Controlling the NT Ordering system with regards to stock supplies/uniform/sundries
  • Advise Supervisor/Manager of any instance requiring special action.
  • Maintain standards in accordance with the Health & Safety policy.
Shift Pattern - We are recruiting a team leader to work Tuesday - Friday: 05:00 - 13:00 and Saturday 05:00 - 12:00

Rates of Pay - We offer pay of £10.559 raising to an additional £10.659 after a successful probational period. Additional overtime is available.


About You:

To be a transport admin clerk with Alliance Healthcare we would value the following skills or knowledge.

  • Previous experience in a warehouse environment including knowledge of Warehouse and Distribution Processes
  • Excellent communication skills
  • Ability to use your own initiative
  • Ability to prioritise workload
  • Excellent time management
  • Previous experience of leading a small team would be highly desirable


Due to the nature of the position, you will need to be capable of standing and walking for long periods of time as well as bending and lifting in line with Health and Safety Regulations.
