We are seeking a skilled Administrator to join our team.

RSW Level 2


Responsible to:
Community Facilities Manager


Hours of work:
Mon - Friday 9.30am - 3.30pm with additional twilight hours of 4pm - 8pm on Tuesdays

Status of position:
Maternity Cover Contract - end date to be confirmed - approx. 9-12 months


The duties and responsibilities listed below are not exhaustive and there may be occasions when the post holder is expected to undertake other areas of work as directed by the Community Facilities Manager.


General Responsibilities

  • First point of contact for pupils, parents and all visitors to the swim centre complex and provide an excellent of front house service.
  • Ensure all visitors follow the signing in procedures and are provided with relevant health and safety and safeguarding information
  • Keep centre reception areas and office tidy and up to date
  • Taking facility lettings bookings, dealing with enquiries and following up potential bookings
  • Answer the telephones courteously for the Learn to Swim and School Lettings, forwarding messages and information as required
  • Book swimming lessons for new customers and process payments, ensuring data is accurately recorded on CoursePro
  • Process new bookings for the community lettings, complete booking forms, customer inductions and monitor payments.
  • Process swimming party bookings and ensure the correct documentation is completed for each let and recorded on file, including health and safety guidance
  • Produce and maintain the swimming party lifeguard rota including weekly reminder text messages
  • Help coordinate school events and room bookings
  • Distribution of the weekly letting's calendar/ planner to Estates team and domestic staff
  • To be aware of and comply with school policies and procedures (e.g. child protection, health and safety, data protection, confidentiality) and reporting concerns as appropriate.
  • To undertake appropriate training when required
  • To adhere to the ethos of the school
  • To promote the agreed vision and aims of the school
  • To set an example of personal integrity and professionalism
  • Attendance at appropriate meetings

Job Type:
Part-time
