The Administrative Volunteer is responsible for specific aspects of administration and Supply Chain department support at IRC's Dadaab Field site.

This covers office administration and Supply Chain support department.


Key Responsibilities.


Administrative Support

  • Office maintenance and its amenities needed for users and guests, supervising cleaners and facility management in conducting maintenance works.
  • Assist in store releasing of admin related items from warehouse.
  • Ensure field staff and guests get accommodation accordingly.
  • Assist in quarterly distributing of toiletry supplies.
  • Upload travel documents in the Box for ease of Payment and reference when administration officer is out of duty station.
  • Provide general administrative support as requested.
  • In charge of office consumable's supplies and office stationery supplies in the office.
  • Assist in booking of taxis and flights.
  • Assist in operation of the Gen for support when there is need.
  • Assist in raising purchase requests.
  • Act as focal person for Admin and facility officer when out of duty station.
  • Any other duty assigned by your supervisor.

Key Result Areas:


  • Provision of effective and efficient administrative support services.
  • Daytoday efficient operations of the administrative and supply chain department services in the office

Qualifications

  • Administration and Management skills, logistics or another related field.
  • At least 2 years' experience in administration and management in facilities management in an active office, preferable with Nongovernmental organization.
  • Excellent computer skills: Word, Excel, Access.
  • Knowledge of administrative rules and regulations.

  • Demonstrated ability to perform wide range of interrelated complex administrative services.
  • Excellent interpersonal skills.
  • High level of personal initiative, proactive problem solving and analytical skills.
  • Ability to work with minimum supervision and also work as part of a team
  • Knowledge of listening skills.
