Role


We are currently recruiting for a Supplier Advisor Team Leader to join our team based at our Head Office in Coventry.

Reporting to the Technical Maintenance Control Manager you will be required to lead and develop a team of Supplier Advisors.

You will ensure that vehicle downtime for all scheduled and unscheduled maintenance is managed on a best cost/quality basis.

You will ensure that such incidents are expedited in the fastest manner possible, and the vehicle is returned to service without undue delay, in line with legal requirements and agreed KPI's.


Job Specific Responsibilities and Accountabilities

  • Lead and assist the day to day running of a team of Supplier Advisors and be their first point of contact.
  • Identify and deliver any training and development needs of the Supplier Advisors to create an environment of continuous improvement.
  • Ensure that contact centre staffing levels are optimal at all times to cover any periods of absence including but not limited to breaks, lunch, holiday, sickness, weekends (as appropriate).
  • Distribute work to Supplier Advisors to ensure that work is allocated to match the priorities of the department
  • Conduct monthly quality checks on work completed by supplier advisors including, but may not be limited to, call monitoring and work order authorisations,
  • Promote the use of FraikinView with the supplier base and deliver FraikinView training to any suppliers migrated across to FraikinView.
  • Delivery of exceptional levels of service to the supplier base regardless of the method of communication (e.g. phone / FraikinView).
  • Identify and resolve any issues with suppliers whilst maintaining and building an effective relationship and always inline with Guidelines set out within the RDA.
  • Ensure cost effective maintenance solutions are met on every occasion by checking history and warranty.
  • Challenge work where appropriate to ensure that all maintenance is carried out to cost and quality standards.
  • To check contracts for vehicles and their specific collection/ delivery and substitute allocation costs and entitlements.
  • To challenge all costs in line with Supplier Repairing Dealer agreements (RDAs).
  • To ensure that when authorising repairs, the history on the vehicle is checked thoroughly for any parts warranty / warranty / rework, recharge or policy entitlement that can be claimed.
  • Liaise with the appropriate Network Performance Engineer where satisfactory resolutions cannot be met.
  • Control of maintenance trends such as warranty, policy, and component failure.
  • To obtain any necessary credits from supplier / manufacture failures that have been identified
  • To be able to demonstrate that vehicle downtime is managed in a proactive manner in line with agreed Key Performance Indicators.
  • When rechargeable work is carried out, ensure the relevant costs are accrued and coded as such and the Customer has provided their full name and full purchase order number whenever possible, and the AR tracker is updated as appropriate.

Person Specification (Qualifications, Knowledge, Skills and Experience)

  • Good standard of Education with a minimum of GCSE Maths and English or equivalent.
  • Team leadership including performance team member appraisals, setting objectives, following HR processes including ER related activities.
  • Able to interact confidently and build credibility with suppliers and other team members.
  • To be flexible in attitude in providing solutions to problems.
  • Negotiating and communication skills at all levels.
  • I.T literate and able to produce reports within tableau, excel, CCS where required to monitor the departments performance.
  • Will work best on their own initiative and take pride in ensuring that work is seen through to completion.
  • It would be a distinct advantage if the job holder has previous experience (or similar) with the maintenance of contract hire / rental / Fleet Management vehicles with third party suppliers.
  • It would be advantageous if the job holder had knowledge of and/or a background from the commercial vehicle transport industry / motor trade would be advantageous.
  • It would be a distinct advantage if the job holder had an understanding of vehicle engineering and road transport law.
