Job Description:


To help support our future long-term ambition and vision for growth, we are looking for a high calibre Team Administrator to support our busy and expanding London Infrastructure team.


The team that you will be part of is over 200 people and is one of the largest Cost Centres in our global business, you will be liaising and helping support our team in delivering major projects and programmes across the South East and London.


This is a great opportunity for an ambitious person to join a highly successful consultancy and contribute to our future growth with high-profile regional projects, working with local, national and global clients.


Key day-to-day activities will include the following, but not limited to:

  • Team Administration support to the London Infrastructure team, the role will be a key hub for the team to liase with in relation to administering their work on a day to day basis
  • Booking meetings for the Cost Centre Lead and team
  • Manage travel bookings for the team.
  • Produce, format and amend CVs, minutes, letters, reports, presentations and any other documents as requested
  • Keeping team documents uptodate (mailing lists, organisational charts etc.)
  • Prepare and submit monthly mileage and expense claims for the team
  • Inputting contractor timesheets onto the finance system on a weekly basis
  • Inputting purchase orders onto the finance system as and when required
  • Deal with queries on the phone and in person from the team
  • Point of contact for new starters into the team
  • Photocopying, printing, binding, laminating and scanning documents as requested
  • Providing daytoday assistance to the Business Assistants as necessary to contribute to the smooth running of the team
  • Booking meeting rooms as requested and maintain and manage electronic booking system.

_ Essential Experience:
_


  • Excellent written and verbal communication skills
  • Experience of dealing with complex diary management
  • Proactive and approachable well organised, innovative and a strong communicator
  • Ability to work under pressure, to deadlines, manage multiple tasks and ability to prioritise
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook.
  • Knowledge of construction and/or professional services industry
  • The ability to learn new procedures quickly and liaise with clients and staff on many different levels
  • The role holder must have experience taking responsibility for managing their work and working with mínimal supervision to achieve the outcomes required for the team
  • Customer service / client facing skills
  • Experience of dealing with confidential material
  • Experience of supporting on event organisation
  • Experience of basic finance administration/system eg: invoicing, purchase ledger.

  • Experience working in Dynamics365 is desirable but not essential, full training will be provided
