Role Summary


The core function of the Executive Associate role is to provide the full range of executive personal assistant, administrative and secretarial support to senior Executive and Board members, ensuring an appropriate balance of support is provided to each.

This role requires a balance between building strong relationships with senior colleagues both internally and externally.

To thrive in this role, you will be a confident communicator with the skills and ability to liaise in writing and verbally with a wide range of stakeholders while maintaining tact and discretion.


You will implement appropriate processes to ensure that day-to-day administrative requirements such as expenses, travel and accommodation bookings and all appointments are managed effectively.


Please be aware that this role may require occasional travel across the UK, to support senior leaders at meetings and events.


What you'll do

  • The duties of the role will include, but are not limited to:_
  • Work with and support all teams across ARIA to build, coordinate and deliver projects and initiatives
  • Dealing with correspondence and queries, including preparation and authorisation of timesheets and expense reports where necessary
  • Coordinating meetings, developing papers and agendas and tracking resulting actions
  • Managing team calendars, including scheduling internal and external meetings
  • Implementing and maintaining office administrative procedures
  • Ordering stationery, office equipment or other supplies (where necessary)
  • Booking transport and accommodation
  • Receiving and directing visitors
  • Organising internal events and team building activities

Who you are

  • You have experience as an Executive Assistant supporting multiple executives concurrently in a fastpaced environment
  • You have strong oral and written communication skills, with the ability to communicate effectively with colleagues and with different audiences on behalf of the CEO, Chair and ARIA Board
  • You will have excellent timemanagement and organisational skills with the ability to work on your own initiative to tight deadlines, using judgement to make decisions and prioritise your workload
  • You are able to think multiple steps ahead of those you support, actioning potential next steps before they've even considered them
  • You have an exceptional attention to detail
  • You are highly adaptive to changing priorities, the differing needs of those you support, new software systems, or anything else a dynamic workplace can generate
