As a PA to the Senior Deputy Head, you will contribute to the smooth operation of the Senior Deputy Head's office and make a significant impact on the students' educational journey.

A vacancy has arisen for a full-time Personal Assistant to the Senior Deputy Head.


This is an important role within the administrative structure and its core purpose will be to provide administrative support for the Senior Deputy Head, being the designated Deputy to the Headmaster.

This post would suit a proactive, tenacious, organised administrator who is equally confident with self-directed and autonomous work as with directed multi-tasking and project management.


  • To provide secretarial, administrative and project management support for the Senior Deputy Head
  • To manage the Senior Deputy Head's schedule, arrangements for meetings and professional engagements which may involve coordinating conference arrangements and visits by stakeholders
  • To make travel arrangements for Senior Deputy Head
  • To prepare and take responsibility for the publication of termly calendar.
  • To create, proofread, maintain and update the online calendar on a rolling basis and publish annual term dates
  • To prepare and take responsibility for the publication of the weekly calendar, updating staff & parents
  • To provide administrative assistance in relation to the organisation of parents' events
  • To assist the Senior Deputy Head or Educational Visits Coordinator with all administration relating to trips and visits. To coordinate trips and visits with all relevant department heads using the _Evolve_ or SOCS online management system, liaising with the Designated Safeguarding Lead, Catering Manager, Health Centre Nurse Manager, Head of Security, Travel & Transport coordinators, teachers and cocurricular staff.
  • To manage staff absence requests
  • To take a proactive lead role, supported by the Senior Deputy Head, in leading an annual review of school wide policies, protocols, booklets and brochures, proof reading to a high level of detail, liaising where necessary with the Admissions & Marketing team, the Bursarial department and wider support department heads. This task will involve close liaison with the Executive, Wider Leadership Team at Stonyhurst College and Stonyhurst St. Mary's Hall and governing body (through the Clerk to the Board of Governors) concerning policies, compliance and inspection preparedness.
  • To assist with the management of communications to current parents.
  • To assist with the annual review of the 'Stonyhurst Playbook'/Staff Manual
  • To manage the room bookings system and to expeditiously resolve clashes and diary conflicts
  • To assist the Senior Deputy Head in collating whole school budgets
  • To provide secretarial support to other members of the Executive team as required
  • To be prepared to be trained in Critical Incident event management and to support the Senior Deputy Head with highly professional and responsive support in the event of declaration of a critical incident crosscampus
  • To assist the Senior Deputy Head with some aspects of safeguarding management, including where necessary having elevated access to and utilising the CPOMS safeguarding management system
  • To take minutes at meetings as required
  • To support the Senior Deputy Head with the preparation of materials and submissions for Board of Governors meetings and a wide range of Governance subcommittees throughout the school year
  • To set up Pupil Council and arrange and minute meetings of the Pupil Council
  • To coordinate meetings and appraisal administration between the Senior Deputy Head and line managed staff, including direct line reports
  • Any other duties commensurate with the role as directed by the Senior Deputy Head
The closing date is 20th June 2023 and interviews will be held on 23rd June 202- This is a full-time role

  • The standard working week would be 37.5 hours per week (full time is 37.5 hours per week)
  • The role would be Monday
  • Friday inclusive 8am 4pm with a half hour lunch break
  • The postholder would work throughout the normal College terms, including Inset (CPD) Days
  • Bank Holidays which fall within term time are normal working days
  • The salary for the post will be based on £26,000£30,000 per annum
