Job Description - Finance & Admin Assistant

Title of the position
Part-time Admin Assistant


Reports to
Managing Director


Term of employment
Permanent - part time (20hrs per week).

Hours can be flexible to suit the individual.

Office opening hours are Monday - Friday 07:30 - 17:00hrs

We are seeking an enthusiastic and flexible individual to join our team. The role will suit someone with administrative and/or office experience in smaller businesses. Key areas of responsibility for

  • Provide administrative support to the office.
  • Coordinate and manage projects as assigned.
  • Organise and manage admin systems and processes.
  • Document control of project files.
  • Point of contact for incoming calls and visitors.
  • Process and action incoming enquiries.
  • Data input and management
  • Data entry onto websites.
  • Liaising with our suppliers and clients.
  • Coordinate client meetings.
  • Transcribe meeting notes if required.
  • Writing quotations (data provided by others).
  • Provide accountants with monthly information for: payroll, petty cash, credit card statements and other financial data.
  • Support monthly payroll and keep organised records.
  • Provide administrative support during budget preparation.
  • Manage the office environment and equipment.

Core Skills & Qualifications

  • Microsoft Office and 365 proficient.
  • Office administration of finance qualification.
  • Strong written and verbal communications skills.
  • Good telephone manner.
  • Experienced in managing an administrative function of an office or a team.
  • Can work independently.
  • Can work on their own initiative.
  • Good organisational and time management skills.

Useful Additional Skills

  • Experience in accounting, bookkeeping or sales.
  • Experience with Xero or other accounting software.

Salary:

Between £22,000 - £26,000 (pro-rata) depending on experience.

20 hour week, working hours can be flexible.
