The Scheduler role sits within our clients busy Aftersales Team whose primary function is to assist their field-based Engineers to carry out inspections and minor repairs of equipment across the whole of the UK.

As a key point of contact for both the office team and the field-based Engineers, the Scheduler must take responsibility to effectively manage and coordinate their diaries and work orders, booking in repairs and warranty claims using Microsoft Outlook diaries.


Your responsibilities as a Scheduler will include:

  • Creating, checking, and loading work orders efficiently into the Microsoft Outlook diaries for all engineers.
  • Ensuring the necessary parts are in the correct location prior to the work being carried out.
  • Checking work completions from the engineers and forwarding to the customers and other team members.
  • Working on multiple projects, balancing workload, and communicating when support is required to ensure deadlines are met.
  • Dealing with the Engineers over the telephone regarding any queries on their work orders.
  • Collection and processing of time sheets
  • Maintaining and checking tracker data and assisting with route planning.
  • Maintaining van stock and consumables with the Engineers.
  • Assisting the engineers with van servicing, maintenance of their tools and equipment.
  • Ensuring parking permits and other key resources are in place for the Engineers.
  • Assisting with quotations and processing / invoicing for works completed.
  • Stock control arranging couriers and shipping parts to Engineers.

To be a successful Scheduler, you must have:

  • Experience of working collaboratively as office-based support to field-based Engineers.
  • Experience of scheduling/organising remote practical works.
  • Good geographical knowledge and use of planning tools, google maps, trackers etc.
  • Proven capability of working autonomously, multitasking and working to multiple fixed deadlines.
  • Excellent attention to detail, checking details and raising anomalies.
  • Confident user of Microsoft packages as well as business systems (e.g., Dynamics CRM / Navision ERP or similar).
  • Some experience of working within a construction, maintenance or service Engineers business would be an advantage.
  • Strong written & verbal communication skills.
  • Ability to learn quickly 'on the job' and adjust to new and updated information.
  • A solution focused, positive 'cando' attitude.
  • A professional commitment to delivering excellent customer service.
