Purpose of the Role
The Boarding Assistant in conjunction with the Houseparent provides pastoral care for all pupils in their care. They contribute to creating a homely environment in which each boarding pupil feels cared for.

They will support the Houseparent in providing a cohesive structure in all aspects of day to day running of a boarding house.

The Boarding Assistant will work collaboratively with all staff in school (teachers, boarding and support staff) to deliver excellent care to all boarders, build professional relationships, engage positively with students, and organise house activities to develop student talents and skills.

The following list is not exhaustive, but the Boarding Assistant will have responsibilities as follows:

Line Management

  • The Boarding Assistant will be line managed on a daytoday basis by the Houseparent but will ultimately be responsible to the Head of Boarding.

Mission and Identity

  • Delivering first class care to all boarders, giving them a variety of opportunities through mentoring, building professional relationships and positive interactions with students.
  • To foster personal pride, and pride for the school and community.
  • Promoting excellence in teaching and learning. Embedding Ruthin School's approach to learning.

Boarding Management

  • In conjunction with the Houseparent, be responsible for the pastoral care and wellbeing of boarders. This will include ensuring high standards of discipline, tidiness and presentation.
  • Support the Houseparent in managing and deploying a team of staff in the boarding house, including support staff and house tutors.
  • Contribute to the confirmation of all travel arrangements associated with boarders. This includes liaising with the Houseparent, office, parents and guardians over transport arrangements, passports, BRP cards etc.
  • Support the Houseparent in managing and processing all exeat requests for boarders.
  • Assist the Houseparent in inducting any new boarders into the boarding areas and more generally work with tutors to induct new boarders into the school community.
  • In conjunction with the Health Centre, oversee the medical needs of boarders.
  • Ensure all boarders have sufficient rest, and that bedtime routines appropriate to the age group are established and maintained.
  • Contribute to the coordinating and running a series of evening and weekend leisure activities for boarders.
  • Supervise activities such as prep, mealtimes, and other activities to support the curriculum and boarding.
  • To be responsible for the welfare, health and safety of boarders, reporting any concerns or breaches of guidance or behaviour to the appropriate person.

Record Keeping and Communication

  • Maintain and update a comprehensive personal file on each boarder using the duty log and welfare plans in the boarding house.
  • Maintaining an up to date working knowledge of safeguarding practices and reporting all concerns through the appropriate channels in school and locally.
  • Record all rewards and sanctions for pupils using the appropriate house systems.

Policy, Compliance and Health and Safety

  • In conjunction with the Houseparent, manage the fire alarm and evacuation procedure for boarders
  • Contribute to the termly review their boarding area in relation to the National Minimum Standards of Boarding and ensure appropriate measures are put in place to address any deficiencies.
  • Assist the Houseparent in Liaising with the Facilities Manager to ensure pastoral areas are prepared for returning students at the beginning of each term.
  • Oversee the safety and quality of the environment in their pastoral area and implement the School's Safety Policy.
  • Report all maintenance and health and safety issues through the appropriate school procedure and inform the Houseparent of the issue and actions taken.
  • Assist in completing annual risk assessments related to their areas.

General requirements:


  • Always observe health and safety procedures and work safely.
  • Promote and safeguard the welfare of children for whom you are responsible and with whom you come into contact and undertake regular training in this area.
  • Attend internal meetings, CPD training, INSET days, and relevant external courses recommended by the Head of Boarding or the Senior Leadership Team.
  • Contribute to pastoral developments / initiatives within the school.
  • Assist the Head of Boarding by covering the boarding house when staff are absent or sick.
  • Be an effective team member, working alongside other members of the boarding team.
  • Work closely with the Houseparent and be responsible for some administrative duties associated with a boarding house.
  • Welcome current parents, prospective parents and other visitors to the school as required.
