Description
To assist in the provision of administrative support to the Haematology Department. Including audio typing, filing, booking patient appointments, preparing patient notes and other administrative / secretarial functions.

To provide audio / copy typing support to the senior secretaries.

To sort and file patient results, letters and other correspondence in line with Trust policies and procedures.

Provide support for booking patient appointments from the waiting list.

Support prepping of outpatient clinics

An exciting opportunity exists within Haematology & Immunology which sits within the Medicine Care Group.

We are seeking to appoint an enthusiastic Support Secretary to provide comprehensive support to the Medical Secretaries based within the Haematology Department, Level 07, Plymouth Hospitals NHS Trust.


Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.

  • To provide audio / copy typing support to the medical secretaries as required
  • To cover for medical secretaries and other staff during periods of annual leave and / or sickness.
  • Support administration of waiting lists in conjunction with Trust Waiting List Policy. This will include printing and sending appointment letters as instructed by the medical secretaries
  • Sort and file confidential patient reports, results, charts and correspondence in hospital casenotes, in accordance with designated procedures.
  • To answer the telephone and deal with enquiries from a number of sources e.g. patients, GPs, other medical staff or route the call appropriately.
  • Locate, trace and dispatch casenotes and x-rays to other wards and departments using the iPM system.
1. 7.Support the prepping of haematology clinics in line with Trust Administrative Procedure Notes.

  • Build and sustain effective working communications with other roles involved in the directorate and hospital as required to ensure collaborative working practices.
  • To maintain effective communication with all members within a multidisciplinary team and participate in team working

Emotional Effort

Postholder will be exposed to patients disabled by deteriorating medical conditions and angry / distressed patients.

Physical Effort

Postholder will be required to move notes manually and using a trolley

Mental Effort


A frequent requirement for concentration - there are frequent predictable interruptions when dealing with patients/relatives at the desk and retrieving/altering information on the computer.
