Description

The Ward Receptionist will work alongside the Ward Matron and Ward Support Assistant in ensuring that a full administrative service is provided to the maternity wards.

They will be based at the ward reception desk and provide the first point of contact to all arrivals to the ward.

The post holder will provide a customer orientated service when dealing with patients.


The post holder will help to organise and manage the out of area referrals to this service and prepare notes for the clinic.


In addition to these ongoing duties, the post holder will be required to undertake specific projects in accordance with the department objectives.


Staff supporting Labour Ward / Maternity Triage will work on a rota which supports the department 24 hours per day, 365 days per year.

Post holders will be expected to work different shift patterns at any point during the week. This will be in line with working time regulations.

  • Staff supporting Maternity Ward will work on a rota which supports the department 24 hours per day, 365 days per year.
  • Provide administrative support to the clinic, Midwife and clinic doctors, as required, ensuring information and processes are in place to support service continuity.
  • Act as a first line contact for patients, relatives and visitors to the ward.
  • Record and monitor the visitors and partners on the ward, ensuring that the "In/Out" log is kept upto date
  • Ensure partners are wearing their identification bracelets and visitors their badges at all times checking the ID of mothers, partners and babies when entering and exiting the wards Respond appropriately to queries in a timely, courteous and helpful manner.
  • Present a tidy and professional image at all times, including wearing the departmental uniform
  • Ensure all patient activity is recorded live and in real time. Ensure Patient Registrations are not duplicated and notify Administration Manager & Maternity EPR lead if errors are noted
  • Record/update/retrieve data using Trust computer systems and any new systems as they are introduced, to acceptable data quality standards.
  • Ensure that all patient demographics are checked and updated to meet recognised data quality standards.
  • Register Births on the NHS Portal and print off supporting documentation where appropriate. Print Birth & Delivery Information and bloodspot labels, ensuring information is correct, notifying the clinical team of errors and request amendments

  • Daily office routines to include: collecting, sorting and delivering incoming post, filing and photocopying.
  • Organise and maintain a robust filing system.
  • Book meeting rooms as required.
  • Provide administrative support to reasonable adhoc requests from other ward staff (e.g photocopying notes, requesting notes for audits)
  • Ensure records accurately reflect the movements of babies on the ward (e.g. to special care for daily treatments) and who is accompanying them
  • Ensure patient's records are kept up to date and in good condition Track notes via the PIMS system in accordance with Trust policy.
  • Responsible for data accuracy pertaining to admission and discharge of patients, both electronically and on any manual records
- to include checking inpatient status on a minimum twice daily basis, more often as required, during busy periods
