Job Purpose


As a Legal admin assistant, you will provide administrative support to claims handlers to ensure that they are able to give the best possible service.

Key Responsibilities

  • To work within the Bike team assisting and providing general adminstrative support to the fee earners, who deal with all aspects of litigated and nonlitigated personal injury claims
  • Proactively manage diaries and diarise actions
  • Generating standard system driven letters
  • Composing letters to clients/customers
  • Making and receiving telephone calls from client and third parties
  • Making initial telephone calls to clients and keeping clients updated
  • Maintain proactive communication with clients and external agencies relating to claims
  • Observing and maintaining firm confidentiality in relation to all correspondence and communications
  • Taking responsibility for personal development and growth
  • Effective prioritisation of tasks whilst managing a full workload
  • Liaise and build relationships as appropriate with clients and their support staff
  • Book client and internal meetings
  • Manage the case management system
  • Prepare document bundles
  • Open close and transfer files
  • Set up new clients on the finance system
  • File, archive, photocopy, scan documents as and when required
  • Ensure that client contact information is kept up to date
  • Assist with the booking of travel arrangements
  • Liaise with Counsel and other legal representatives
  • Proactively assist with adhoc business development and communications activities e.g. client contact reports, delegate packs etc.
  • Maintain a level of individual knowledge required for the role
  • Effectively work with fee earners and secretarial team members
  • Handle confidential information in line with the firm's data security protocols
  • Minute internal meetings
Experience and Knowledge

  • Five GCSEs at grade C (or 4) or above, including English and Mathematics (or equivalent)
  • High level of accuracy and attention to detail
  • Enthusiastic and positive attitude with a general willingness to learn
  • Strong written and verbal skills and able to communicate with colleagues at all levels, clients and third parties
  • Good literacy and numeracy skills
  • Working knowledge of MS Word and Excel
  • Strong organisational and administrative skills
  • Customer focussed
  • Ability to cope under pressure
  • Ability to work to deadlines
  • An ability to work using own initiative within boundaries, as well as in a team, to achieve maximum results
  • Good attention to detail and an ability to work effectively with people across a wide range of levels and responsibilities.
  • Good organisation and time management skills
