Description

Administrative Duties:


  • Provide Administrative support and assist in the smooth running of the office.
  • Be selfsupporting, including dealing with letters, reports, forms, invoices, financial documents, minutes etc., to a high standard.
  • Undertake office management functions in conjunction with other team members, including responsibility for logging incoming mail and dealing with outgoing mail, ordering stationery and other office supplies, organising and maintaining filing systems, operating and maintaining office equipment.
  • Take part in reception counter cover and telephone enquiries, dealing with management problems, tenant enquiries and the taking of cash and card rent payments. Keep accurate records of callers to the office, post, stationery, office running and other administrative budgets including requisitions, materials, timesheets etc.
  • Attend team and Management Committee meetings as requested and carry out other office procedures as requested by the Cooperative's Director. Only one job sharer at a time will be required to attend meetings, consultations, training etc. Job sharers will not be required to attend meetings on days when they are not normally available.
  • Become fully acquainted with the Cooperative's computerised systems and to understand and carry out such tasks as the maintaining and updating of computerised rent, repairs and waiting list records, the selection and signing up of applicants.
  • Commence and terminate tenancies according to the Cooperative's lettings policy. Issue details/information relating to the tenancy for both introductory and secure tenancies.
  • Ensure tenants are provided with information on their rights and responsibilities, housing benefits, universal credit, council services and access to external agencies able to provide advice/assistance, the Cooperative's equal opportunities policy and procedures, caretaker/handyman service and any other matters relating to the tenancy.
  • Advocating and advising on all matters relating to the tenancy agreement and obligations of Coop membership.
  • Liaise with and assist the work of the Community Worker in the promotion and development of the Cooperative's Community Programme.
  • Enforce the conditions of the tenancy including illegal occupancy, neighbour disputes and other nuisance cases. This will include the preparation of reports to the Estate Director and Management Committee and the court.
  • Operate the Cooperative's Best Value and voids monitoring procedure and ensure that priority times are adhered to.

Rents and Arrears:


  • Take on primary responsibility for the tenancies managed by the Cooperative. Advise tenants on changes to Housing Benefits, Universal Credit, rents and other charges.
  • Assist with the maintenance of computerised rent records including the input of rent payments and other adjustments to the rent account.
  • Undertake the collection and monitoring of rent arrears and ensure targets are met. Prepare and provide statistics to detail rent arrears progress and for other associated Best Value reports.

Tenancy Management:


  • Carry out signups and home visits for new tenants and mutual exchanges ensuring that all rights and responsibilities of the tenancy agreement are explained and understood.
  • Effectively manage requests for tenancy changes such as successions, assignments, joint to sole and all related issues. Effectively manage terminations of tenancy, assisting with the lettings process to minimise void periods and inappropriate allocations.
  • Effectively manage permission requests as set out in the tenancy agreement including property improvements, lodgers and subletting, pets and running a business.
  • Provide assistance to tenants wishing to downsize or mutually exchange their tenancy.
  • Proactive management of all nuisance and antisocial behaviour cases including neighbour nuisance, harassment, hate crime, domestic abuse, violence and illegal or immoral activity ensuring speedy resolution of issues using appropriate remedies in line with departmental policies and procedures.
  • Ensure that tenants who have difficulties sustaining their tenancies and/or paying their rent are offered appropriate advice, support and assistance. Tate is acting as an Employment Business in relation to this vacancy.

Repairs and Maintenance:


  • Become familiar with the Cooperative's computerised and manual systems for repair ordering, monitoring and invoicing and to be aware of the budgetary implications of ordering repair works and the methods of internal financial control within the cooperative.
  • Issue day to day repairs orders where necessary. Liaise with the Coop's contractors and the Council's direct services organisations including gas contractors etc. Carry out inspections for preorder repairs works and on a percentage of completed repair works as part of the quality control procedures.
