Job Title:
Human Resources Administrator
Responsible to:
Hospital Director and The Registered Manager
KEY PUROSE AND DUTIES
- Ensure the delivery of a full range of Human Resource services with focus on HR _
- Administration and Governance within the small, but busy HR department._
- Support the administration of all HR lifecycle activities.
- Manage staff relationships, responding to any queries or problems that they have and managing their expectations effectively.
- Preparation of HR letters, employment contracts and staff changes and communication as required by management team.
- Management and upkeep of personnel records, including immigration and right to work.
- Support with raising risk events wherever appropriate and designing controls and solutions to prevent risk.
- Support with and contribute to the quality assurance checks required by the hospital external HR company,
- Support with the recruitment process including updating/reviewing JDs, and focus on the preemployment screening process.
- Preparation of HR letters, employment's contracts and staff changes and communication as required by the management team.
- Support the hospital's management team in the recruitment process, including conducting interviews, and coordinating background checks and reference check.
- Coordinate the creation and maintenance of employee personnel files on hospital's portal system and ensure compliance with confidentiality regulations.
GOVERNANCE STRUCTURE

Board
The LWH Management Board meets quarterly, and its main purpose is to ensure that robust Corporate Governance processes are in place enabling the Board to manage and deal effectively with challenges of running the hospital.
Minutes prepared by the Registered Manager in good time prior to the scheduled meeting date. The post holder may be asked to attend the Board Meeting by the
Management Team as and when require.

Medical Advisory Committee (MAC)
The Medical Advisory Committee (MAC) meets quarterly and reports to the
Management Board with advice relating to all clinical matters, patient experience, patient safety issues and management of clinical risk.
The post holder working with the Registered Manager is responsible for setting the meeting dates and communicating effectively with all committee member re agenda items and all related communications.
The post holder may be asked to attend the MAC Meeting by theManagement Team as and when required.

Integrated Governance
The Integrated Governance Committee meets quarterly and representatives of all grades of staff are invited to take part. The post holder working with the Registered
Manager is responsible for setting the date and communicating effectively with all committee member re agenda items and all related communications.
PRACTICING PRIVILEGES, REVALIDATION AND MEDICAL APPRAISAL LOG
The post holder is responsible for maintaining and updating a log of all Medical
Practitioners who have named LWH as their designated body. Working effectively with the Registered Manager and the Responsible Officer the post holder must ensure
Revalidation timelines are met and with timely escalation of issues which potentially could delay Revalidation of an individual Medical Practitioner.
Appraisal is maintained and that all Medical Practitioners who hold Practicing
Privileges at LWH are fully engaged with this process. Importantly the post holder must communicate effectively with the Registered Manager on all issues of Medical
Appraisal.
PATIENT EXPERIENCE

Friends &Family Test
The post holder is responsible for compiling the data from the patient surveys
(Friends &Family test in readiness for quarterly submission to PHIN working closely with systems Analyst and IT.
LWH STAFF TRAINING MATRIX
The post holder must work closely with the Registered Manager for arranging all mandatory staff training and for keeping a log of same to be able to easily demonstrate at any given time, the percentage of staff trained in line with CQC standards.
LWH STAFF APPRAISAL MATRIX
The post holder is responsible for maintaining a log of all LWH staff annual appraisals and for alerting Registered Manager for due dates of next appraisals.
PATIENT REPORTED OUTCOMES MEASURES (PROMS)
Working with the systems Analyst, Deputy Director, and all reception staff to ensure all
PROMS data are collected and submitted.
LEGAL ISSUES /COMMUNICATIONS
The post holder is responsible for overseeing and escalating issues to relevant persons in regard
- PIP
- Solicitor's requests for patient records
- Freedom of information requests
