Activities and Responsibilities of the Post

Principle Purpose of the role

There is a requirement for travel associated with this post for which transport will be provided.

Main Activities of the Role

  • General administrative duties including the processing of incoming/outgoing mail, providing a word processing service and assisting with meetings, as required
  • Responsible for the ordering, invoicing, receipt and storage of stationery and non operational equipment ensuring that sufficient and up to date stock is maintained
  • Responsible for the handling of cash, which includes, the receipt and payment of monies, banking, purchase of postage stamps and the maintenance of cash float accounts. Records should be maintained of all transactions in accordance with financial procedures
  • To maintain accurate and comprehensive records (both electronic and manual) including the inputting of data and interrogation of systems and paper records to produce management information, as required
  • Maintain and update information on Constabulary noticeboards and on public display in line with force direction
  • Maintain inventory records and registers, including building contents, vehicles and supplies, which includes the recording, relocation and disposal of equipment and allocation of locker space and keys in accordance with Constabulary procedures
  • Provide support to responsible person for the building including reporting and monitoring of faults
  • Assist with the implementation and enforcement of fire precautions, security audits and health and safety procedures in liaison with the responsible person for the site. Carry out weekly fire alarm, panic alarm and defibrillator tests. Regular checks of and replenishment of first aid boxes in buildings and vehicles
  • Responsible for the collection of blood, urine and DNA samples
  • Calibrate Draeger breath test devices
  • Maintain appropriate stock levels of PAVA, issuing and withdrawing when necessary. Assisting with audits and processing returns to stores. Updating and ensuring accuracy of records on Transearch
  • Issuing electronic door access cards, updating and maintaining the system under direction from Line Management and documented procedures
  • Any other duties commensurate with the role and grade as may reasonably be requested by line management
Person Specification

It is essential that applicants meet the following criteria:

  • Demonstrate ability to use computer systems, with knowledge of Microsoft Outlook, Word and Excel
  • Proven clerical experience, with ability to maintain office record systems and follow set procedures
  • Proven ability to organise and prioritise own workload as necessary
  • Demonstrate ability to work effectively as part of a team and maintain required skills
  • Ability to demonstrate effective communication skills, both written and verbal
  • Proven ability to work accurately with close attention to detail
  • Ability to travel within Suffolk as required
It is desirable that applicants meet the following criteria:

  • Previous knowledge of working within the public sector or equivalent
Hours of work are 14.8 per week Monday and Tuesday 08:00 - 17:00. (There is some flexibility to work shorter hours per day across more days). This post is offered on a temporary basis.

Special conditions / Points to note

  • The purpose of this job description is to indicate the general level of the duties and responsibility of the role, the duties may from time to time vary without changing the general character of the role or the levels of responsibilities
  • Whilst the role is normally based at the aforementioned location, you may be required to work at other establishments within Suffolk Constabulary as may be reasonably required. Police Staff Conditions of Service will be adhered to in such instances
  • All duties must be carried out in accordance with relevant Health and Safety legislation and good practice. A 'No Smoking in the Work Place' policy applies
  • All duties must be carried out in a manner that supports the Constabulary's commitment to equality and inclusion
  • This role will involve some travelling and working at various police premises within each Area for example East, West and South, as requested by Line Managers. Police staff conditions of service will be adhered to in such instances
