JOB SUMMARY
We are looking for a caring, dynamic individual that will operate as an Admin assistant at Empower Community Centre.
As an Administrative Assistant at our Empower Community Centre, you will play a crucial role in ensuring the smooth and efficient operation of the centre.
You will provide essential administrative support to the staff, clients, and visitors, contributing to a safe and nurturing environment for service users.
Your responsibilities will include various administrative tasks, maintaining records, and assisting in the day-to-day activities of the centre.REPORTING TO:

MAIN DUTIES AND RESPONSIBILITIES:

Reception and Communication
- Proving an excellent reception service, creating a welcoming and positive environment for support staff, service users and all visitors.
- Show new or potential service users and staff around the day centre
Administrative Support
- Support the office manager in maintaining and developing office systems and records (staff and service user files /documentation)
- Prepare and distribute communication materials, such as newsletters and announcements.
- Support staff in data entry, word processing, and creating documents as required.
- Take and or type minutes of meetings as required.
Team Support
- Collaborating with other staff members to support the overall mission and goals of the day centre.
- Assist clients with basic activities and provide a supportive presence.
- Providing support to specific teams as and when required.
- Registering new service users and ensuring all necessary documentation is complete.
- Handing financial transactions such as collecting fees or donations.
- Maintain accurate records of service user attendance, activities, and progress.
- Assist in tracking and documenting various centre statistics and data.
- Assist in organising and coordinating special events, outings, and activities for clients.
- Help with planning and execution of special occasions such as birthdays, celebrations, and themed days.
- Monitor and order office supplies and materials as needed.
- Keep an inventory of supplies and report when reordering is necessary.
- Ensure the safety and security of service users by following safety protocols and guidelines.
- Participate in emergency drills and aid during emergency situations.
- Aid in maintaining health and safety checks and records.
- Perform other administrative and support tasks as assigned by the Management team.
- Liaising and cooperating with Day centre staff to produce Support plans, risk assessments and generally maintaining service user records.
- Work mainly performed in an office setting, however role will require working between sites e.g. head office and day centre. Providing floor cover where needed
- Community engagement helping to build relationships with the local community and seeking opportunities for partnerships or support.
CONTINUAL PROFESSIONAL DEVELOPMENT:
- To participate in training and development appropriate to role including mandatory training
- Ensure that knowledge base is kept up to date and have an awareness of legislation and other relevant updates
- To be a positive role model with other colleagues in terms of your own continuous professional development
- To participate in identifying key performance indicators a personal development plan, training, and supervision with line manager
HEALTH & SAFETY:
- To implement, operate and maintain safety systems in accordance with ECC policies procedures and guidance, training and associated risk assessments.
- To report to your line manager any situations or issues for concern relating to significant foreseeable risks, incidents (including near misses) an/or accidents which give cause for concern in relation to safe systems of work (affecting your own health and safety or that of others affected by your work activities.
- To comply with the Health & Safety at Work Act 1974 and with ECC policy, paying particular attention to the reporting of da
