Key Responsibilities

Finance administration

  • Responsible for maintaining accurate financial data into the school's finance software iFinance
  • Manage the preparation of termly fee invoices to parents to ensure timely collection of fees due to the school
  • Act as first point of contact for parent questions and queries relating to their termly bills
  • Liaise with staff to maintain processes for approval of purchases and school trips via the PO process
  • Process purchase invoices into iFinance
  • Create and authorise payment batches and faster payments
  • Carry out monthly bank reconciliations and reconcile all control accounts including fee and purchase ledgers
  • Responsible for cash handling including petty cash
  • Check and approve credit card transaction and process credit card journals
  • Manage Early Years Free Entitlement claims
  • Manage the financial aspects of the School's Holiday Club

Finance management

  • Assist in the preparation of the Management of accounts up to trial balance
  • Assist in the preparation of management and annual accounts including prepayments, accruals and depreciation
  • Assist in the Budget preparation and monitoring
  • Ability to communicate finance to nonfinance managers
  • Debt management of outstanding parent fee accounts, including liaison with debt recovery solicitors
  • Assist with negotiation, management and monitoring of contracts, tenders, leases and agreements for support services

Budget and audit

  • Assist in preparing budgets in collaboration with budget owners.
  • Assist in the preparation of the Monthly/Termly management reports for SLT and Governors.
  • Assist in the annual audit, liaise with all parties involved including the external audit team and assist in the preparation of all documentation in advance.

Administration

  • Where necessary, to assist with all general administrative functions of the school.
  • To undertake ad hoc administrative tasks as required.

Person Specification

Skills and knowledge - essential

  • Working in a school environment and not for profit sector (desirable)
  • Qualified or working towards an Accounting qualification or have a strong financial management and be qualified by experience
  • Proven and successful background in finance up to management accounts (minimum)
  • Experience of running an audit
  • Experience of creating statutory accounts
  • Working knowledge of accounting software
  • Working knowledge of Customer Relationship Management systems (iSAMS an advantage)
  • Excellent interpersonal and communications skills, with the ability to relate well and develop relationships with people on all levels
  • Experience in developing and implementing new processes and procedures
  • Ability to provide professional support at all levels of the school
  • Successfully working under pressure, with multiple demands and in a changing environment
  • Solid, appropriate IT skills, including strong use of Word, Excel, PowerPoint and Outlook
