The Role_

Due to the promotion of the current post-holder, we are seeking an exceptional individual to support our incoming Provost.


The Provost's EA is responsible for the smooth running of the Provost's office, providing a high level of professional support to the Provost, maintaining complete confidentiality, and working across senior members of the College and all College departments.

They will be part of a team of executive assistants supporting senior College Officers, overseen by the College Registrar.


Key Responsibilities

Communications

  • Work closely with the Provost and College communications in responding promptly to sensitive or highprofile enquiries.
  • Meet and greet all visitors including VIPs and senior executives from external organisations when required. Assist with their requirements e.g., ordering taxi/chauffeur cars, Wi-Fi, and directions.

Diary

  • Proactively manage the Provost's schedule of meetings, events and travel, being mindful of constraints on the Provost's time, the time of their guests, and of College Officers.
  • Support the Provost in ensuring their schedule runs to time, including the smooth operation of travel arrangements, guiding external visitors, and liaising with IT around hybrid meetings, and with catering on any dining arrangements.

Administrative support

  • Support the Provost in preparing written correspondence, committee papers, and other documents.
  • Maintain an efficient filing system to support the good working of the College Office and complying with relevant data protection regulations.
  • Work collaboratively with other executive assistants across the College, as required, to record, transcribe and distribute minutes of meetings.
  • Support projectbased work, including collation and management of data, as well as ad hoc research and analysis in support of committee papers. Proactively review operating practices within the College Office and, working with other executive assistants, suggest and implement improvements as necessary.

Travel arrangements

  • In collaboration with Development, book and coordinate UK and overseas travel for the Provost Prepare detailed itineraries, often for complex travel arrangements.

Provost's Lodge

  • Coordinate with housekeeping and maintenance to ensure the upkeep of the Provost's Lodge and Garden.
  • Coordinate and support ad hoc events such as the movement of office items and personal belongings when required.

Knowledge & experience

  • Education to degree level or equivalent
professional experience

  • Experience of administrative work at a
  • Significant experience in a PA/EA role at an executive level (desirable)
  • Experience of working in a Collegiate or University environment (desirable)

Personal skills & abilities

  • Excellent communication skills; confident to liaise with people at all levels.
  • Accurate and with a good eye for detail.
  • Media savvy.
  • Excellent organisational, analytical and research skills.
  • An understanding of the Provost's role as Head of House, in the context of King's College and Cambridge University.
