School Administrator - Job Description - January 2023

  • All employees working at Norwich Steiner School have responsibility towards safeguarding and should be guided by knowledge of the school's policies in their response to any safeguarding issue that may arise in the course of their work in and associated with the school. Staff are at all times expected to maintain professional boundaries in their relationships with pupils._


The
Administrator's role is to manage the administrative needs of the whole school in a manner that recognises and supports the ethos of Waldorf Education.

This post includes substantial management responsibilities and a diverse range of tasks.

The key areas of responsibility that are included within this post and estimated to occupy 50-70% of a full

- time post are:
1.


Regulatory compliance/oversight - taking responsibility for ensuring that the school operates legally at all times (for example, DfE requirements, annual census, material change; Ofsted; planning/listed building consent; terms of lease; insurance; services) by carefully researching and seeking advice as appropriate.

Parent concerns - handling these objectively and according to the school's policy.

Personnel - Oversee and be responsible for the personnel function in the school, seeking and following advice from the school's employment consultant whenever necessary, delegating to other staff where appropriate, consulting and keeping management team informed on a regular basis, and referring to the trustees as appropriate.

Specific responsibilities within personnel, which may be carried out by the post holder or delegated to others where possible and appropriate, include:
a. Recruitment as required b. Staff contracts & associated terms & conditions c. Administration/Investigation into concerns about capability and/or conduct. d. Guiding the work of other administrative/premises staff

Timetabling/planning and strategic development - Ensure the smooth and efficient running of the school including development of a year plan and curriculum (in full consultation with teaching staff).

Management of the timetable to ensure appropriate/fair allocation of lessons, break duties, use of space (lab, gym) and so on.

This responsibility may also necessitate the post holder working at weekends to reorganise schedules when staff are unwell.

Strategic development - requires the post holder to have an eye on medium
- and long-term objectives of the School, whilst still dealing with the day-to-day.


There is some flexibility as to which additional aspects of the school administration will form the balance of this post and what aspects of the job will be covered elsewhere, but include:5.


General Administration, including ensuring that:
a. documents such as the parent's handbook and information book are updated; b. information on the website is current c. Key policies and procedures are updated routinely or as necessary

d. Planning and publishing of term dates e. Information is appropriately shared with parents and staff (e.g. staff changes)

Finances - management of all aspects of the school's finances, including preparation of projections for internal use and for the accountants, reviewing expenditure and income on a regular basis, carrying out reviews of fee and salary structures as necessary and carrying out checks and balances of the finance system.

Specific jobs within finance, the responsibility for which falls within this post include the management (doing or delegating & overseeing where appropriate) for: a.

Bookkeeping b. Payroll c. Invoicing d. Financial business planning

Health & Safety & Premises management - ensuring that the school and its activities are safe for the children, staff and visitors.


Specific responsibilities include:
a. Health & safety policy and associated policies are up to date and relevant. b. Supporting staff to carry out risk assessments; c. Oversight of educational trips and their assessment of risk; d. Ongoing development of Method statements of expected safe practice for regular activities e. Carrying out fire drill and emergency evacuation practices f. Ensuring essential services are safe and legal & are serviced at an appropriate level (Legionella, Fire extinguishers, Electrical systems, Gas systems)


8. Teaching & Break duties
A small proportion of the post (e.g. 5%) should include some teaching and/or break duties.

This is to ensure that the post holder knows the children and understands the constraints and conditions that teachers are working within.
