POST TITLE:
Receptionist


RESPONSIBLE TO:
Reception Manager


POST HOLDER:


POST SUMMARY:


To assist the GP's in the provision of the service to patients by facilitating access to the doctor in an organised, efficient and caring manner.

To provide efficient and organised administrative support in reception in line with practice requirements and guidelines.


And
To input data onto the practice database.


KEY RESPONSIBILITIES:


RECEPTIONIST

  • Provide reception desk duties as required (Booking patients when they arrive, directing them to appropriate rooms, making appointments)
  • Deal with any telephone enquiries in a respectful and friendly manner, ensuring correct details are recorded and forwarded to relevant personnel
  • Manage the Econsultation process and allocate to appropriate appointment slots.
  • Relay messages and home visits to appropriate staff/GP
  • Maintain an accurate filing system
  • Convey results to patients
  • Photocopy documentation for patients or GP
  • Deal with all enquiries (from patient, hospital or another surgery) in a sympathetic and confidential manner
  • Act as chaperone if requested
  • Issue receipt for any money collected (eg for vaccinations or medicals)
  • Assist at student registration
  • Keep reception area tidy
  • Follow practice protocol for changing addresses
  • Ensure records of deducted patients sent to SSP weekly
  • Register new patients
  • Copy patient records as and when required as directed by Practice Manager. Shred documents as necessary.
  • Act as point of contact for queries from the SSP.
  • Print off full patient reports and medication as and when required.

  • In the performance of the duties outlined in this Job Description, the postholder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the practice Health & Safety Policy, to include:

  • Using personal security systems within the workplace according to practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Reporting potential risks identified.
