We have a vacancy for a Support Secretary/Typist in the Orthoptic department at Northampton General Hospital.


You will be working as part of a supportive team providing high quality audio typing and other clerical duties within the department.


We are looking for someone with fantastic administration and excellent typing skills, a great multitasker with a good eye for detail.

This is an exciting opportunity for a highly motivated, enthusiastic individual to join our team.

The post holder will provide an excellent administrative service to enable the delivery of an effective, efficient and timely service to our patients and their families.

This post holder to be responsible for the typing of clinical correspondence via the use of digital dictation and will be responsible for producing letters within the agreed time frame ensuring quality and accuracy is maintained at all times.

The post holder will be required to respond to queries from patients and clinicians.

Communicating these actions via the use of the IT solutions provided to communicate with the Consultant Secretaries and Waiting List Coordinators.

In addition, undertake effective reception, administrative and secretarial duties as part of the administration team.

Provide a comprehensive clinical secretarial service to the Clinical Team to enable them to carry out their duties in an effective and efficient manner and ensure efficiency in patient care.

Take direction from the head orthoptist to meet the administrative demands.

Ensure all correspondence for the Clinical Team, including clinical letters, minutes of committee meetings etc. are typed and dispatched promptly.

Deal with telephone and face to face enquiries from patient, relatives, carers and all staff groups providing information, directing and prioritising queries as appropriate to ensure efficiency and effectiveness of service delivery within agreed limits and take appropriate actions

Deal with concerned patients/relatives with tact, patience and discretion, especially when conveying sensitive information.

Attend meetings, as required to ensure effective communication with all service users

Ensure confidentiality is maintained is all communication and that documents and other sensitive information are secure at all times.


Use the relevant Trust databases and patient administration systems and ensure that all data is correct and up to date.

Provide general administrative services as required by the department.
Filing letters and reports in medical notes promptly and cross reference whenever necessary and general office filing.

Photocopying, faxing and posting documentation.

Receive and sort daily post, date stamp and distribute as appropriate.
Liaise with other hospital departments, GPs and other healthcare agencies when required.

Provide cross-cover within administration team during absence and follow relevant organisational policies such as notification of sickness absence and participation in individual appraisal
