Job Summary:

To provide high quality administrative support to the Buying Team


Key Responsibilities:


  • Purchase orders
  • Prepare, enter, review and validate electronic Purchase Orders (PO);
  • Track all POs to ensure vendor receipt;
  • PO maintenance enter data amendments, follow up with vendors, attend to any other issues/problems;
  • Partner with Buyers on key appointments to assist in order writing (potential travel needed);
  • Ensure PO entry is timely and accurate;
  • Manage POs from multiple Buyers;
  • Manage PO flow as required e.g. chasing lates, updating transit times, querying data on a PO.
  • Administrative support
  • Vendor management assist the Buyers with new vendor set up, manage the department's vendor base (contact info, pre ticket addresses, update trade show vendor base, maintain history and current activity), filter potential new vendors, keep vendor information current and appropriate;
  • Log Buyers' weekly itineraries;
  • Assist and support Buyer Administrators and Buyers from other buying offices;
  • Organise and prepare expense reports, collate and manage receipts
  • Support the team with general administration (post, faxes, photocopying, troubleshoot technology issues etc);
  • Process invoices on Oracle.
  • Sample coordination
  • Ensure all samples are controlled in an effective and timely manner;
  • Liaise with vendors to ensure timely and appropriate delivery of samples
  • Assist in preproduction/production sample process to include; communicating with the vendors, tracking receipt of samples, setting up displays for buyer approval and creating and maintaining binders, etc.;
  • Management of samples in a timely and appropriate manner.
  • Strategy/Style out preparation
  • Request samples from vendors, ensures samples are received and returned in a timely manner;
  • Create mood boards, strategy packs and presentations.
  • Business analysis
  • Assist Buyers in preparing for their market week on a Monday by report printing, vendor information etc.;
  • Perform special projects as assigned or directed throughout the week based on Buyer's needs.

Key Skills, Knowledge & Experience

Essential

  • Educated to a minimum of GCSE standard (or equivalent);
  • Proven strong administrative and organisational skills;
  • PC literate with intermediate computer skills and good data entry skills;
  • A genuine interest in retail;
  • Demonstrates flexibility and ability to adapt to an everchanging and diverse environment;
  • Able to juggle a number of constantly changing priorities and multitask in a high volume and fast paced environment while maintaining a positive and professional demeanour;
  • Independent, able to work effectively without close supervision
  • Committed and reliable;
  • Excellent attention to detail;
  • Task oriented, aware of deadlines;
  • Excellent communication skills, both verbal and written;
  • Strong interpersonal skills, ability to form and maintain relationships with people on all levels;
  • Selfstarter, selfmotivated, fast learner;
  • Ability to represent the company in a professional manner.
